Job Summary

The Administrative Assistant Senior reports to the Assistant Dean of Students. This position is responsible for the office management and administrative functions for the Office of the Dean of Students and its affiliated areas.

Responsibilities*

Administrative/Communication/Marketing

  • Provide administrative support for all staff including scheduling appointments, managing calendars, event planning, and programmatic support.

  • Provide administrative support to the CARE team and Student Conduct including, but not limited to, reviewing reports, creating cases, documenting actions and coordinating communication.

  • Provide administrative support for various committees as determined by department leadership including, but not limited to, attending meetings, documenting minutes and supporting committee actions.

  • Provide support to department events and committees as needed including, but not limited to, reserving space, ordering catering, creating marketing materials, and managing event set-up.

  • Assist with department programs including, but not limited to, fraternity and sorority processes, Student Government related initiatives, retreat and program logistics and compiling of annual report data.

  • Create administrative processes to increase office efficiency and effectiveness.

  • Assist with webpage creation and ongoing management.

  • Oversee department intranet sites.

  • Assist with creation of department marketing materials.

  • Assist with Admissions and Orientation events.

  • Provide administrative back-up support for other staff within the department.

Office Management

  • Serve as primary customer service agent for the department and resolve issues or refer to appropriate staff.

  • Oversee all office management processes including mail receipt and distribution, management of department email and voicemail accounts, storage, technology tracking, creating office directories, M-Community and Google Drive maintenance, scheduling of interpreters and submission of work orders.

  • Ensure department spaces and storage areas are neat and clean and represented in a professional atmosphere.

  • Assist with student employee project management through support and referral.

  • Assist with student organization onboarding, annual registration and compliance including, but not limited to, performing compliance checks.

  • Provide high quality customer service to all students, student organizations, advisors, and other constituents that reflects our mission.

  • Oversee the key, locker and window policies in compliance with the student organization handbook including annual audit of locker storage.

  • Oversee equipment inventory, reservation and usage policies.

  • Oversee space reservation and usage policies.

  • Oversee creation and maintenance of general office calendars, work schedules and forms.

  • Maintain office technology audit, copier and poster printer.

  • Oversee office supplies and ordering in conjunction with department purchasing agent.

  • Facilitate and respond to communication from any University constituent.

  • Understand and use applicable computer applications: Banner, Google Suites, Gmail, Share Drives, Microsoft, Adobe, etc.

  • Utilize department related technologies (Maxient, CampusConnections, M-Pathways, etc.).

  • Ensure electronic files are updated, accurate and purged according to record retention policies.

  • Serves as a mandatory reporter (Clery Act) and responsible employee (Title IX) and immediately reports related incidents according to federal mandates and university policies.

Required Qualifications*

  • High school diploma or equivalent

  • 4 or more years of related administrative experience

  • Advanced computer skills, using Microsoft Office software or Google suite.

  • Understands and values diversity and the importance of inclusion as demonstrated through commitment to apply and incorporate differences, complexities, and opportunities that diversity brings to an organization.

Work Schedule

Hybrid:

A consistent hybrid work schedule (some days on campus and some days working remotely) is available for this position at this time. However, this is subject to change based upon the duties of the position and the needs of the department.

Background Screening
