Description

We are currently seeking a highly organized and bilingual Administrative Assistant to join our team. This role is crucial in supporting the day-to-day operations of the organization, ensuring efficiency, and contributing to the success of our impactful initiatives.

As a Bilingual Administrative Assistant, you will play a key role in providing administrative support to various departments within the organization. Fluency in both English and Spanish is essential for effective communication with diverse stakeholders, including staff, volunteers, and the communities we serve. The successful candidate will demonstrate strong organizational skills, attention to detail, and a passion for contributing to the nonprofit sector.

Key Responsibilities:

Communication:

  • Facilitate communication between English and Spanish -speaking stakeholders.

  • Translate documents, emails, and other materials as necessary.

  • Answer and direct phone calls, emails, and inquiries in a professional manner.

Administrative Support:

  • Provide general administrative support to various departments.

  • Assist in scheduling and coordinating meetings, conferences, and events.

  • Maintain organized filing systems and databases.

Project Assistance:

  • Assist in the coordination and execution of projects and initiatives.

  • Compile and prepare reports, presentations, and documents.

Volunteer and Stakeholder Engagement:

  • Coordinate volunteer activities and schedules.

  • Assist in maintaining positive relationships with donors, volunteers, and community partners.

Office Management:

  • Order and maintain office supplies and equipment.

  • Ensure the tidiness and efficiency of the office environment.

    Requirements

Qualifications:

  • Fluency in both English and Spanish (spoken and written).

  • Proven experience as an administrative assistant or in a similar role.

  • Strong organizational and time management skills.

  • Excellent interpersonal and communication skills.

  • Proficient in Microsoft Office Suite (Word, Excel, PowerPoint, Outlook).

Education and Experience:

  • High school diploma or equivalent.

  • Previous experience in a nonprofit setting is advantageous but not mandatory.
