ASRC Federal Holding Company Executive Administrative Specialist in Colorado Springs, Colorado

ASRC Federal Cyber is seeking an Executive Administrative Specialist for our team in Garden of the Gods, CO.

Key Role:

Support a Director level office.

Expedite internal/external taskings, distribute, track, and coordinate action items to closure within specified timelines.

Coordinate and manage scheduling of appointments, meeting and events. Support the maintenance, periodic purging, organization, and currency of files and records in accordance with standard policies.

Build briefing packages for distinguished visitors (DV), prepare TDY folders, and prepare packages for mailing as requested. Assist in preparation of travel orders and vouchers using DTS. Develop, maintain, notify affected personnel, and post Government and contractor end-of-day lock-up schedules. Manage the lock-up documentation and checklists and performs lock-up duty and associated procedures as needed.

Support the preparation of responses to Freedom of Information Act requests.

Coordinate requirements of external organizations, to include but not limited to Program Executive Officer of ISR/SOF and ACC elements, to prepare and organize for inspections or audits.

Organize the preparation, arrangement of proper protocol, and support of distinguished visitors, to include, nametags, agenda, beverages, and security requirements (e.g. visit requests).

Collect data for the generation of reports as well as proofread and edit internal and outgoing official correspondence.

Coordinate and validate visit access requests (VARs) (outgoing requests for TENCAP personnel and incoming requests for visitors to TENCAP facility) for SCI and collateral with the TENCAP Security Manager and Specialist via Joint Personnel Adjudication System (JPAS) or secure fax.

Schedule and verify unclassified, collateral, and SCI VTCs with the appropriate coordinating organizations and TENCAP personnel. Coordinates, resolves conflicts, schedules, and notifies required and optional participants for meetings requiring video teleconferencing (VTC) capabilities and rooms per TENCAP policies.

Performs receptionist duties, such as answers phones, directs calls, and takes messages on the shared lines of the front office; manage calendars and sets appointments for TENCAP personnel; and coordinate office communications.

Requirements :

Minimum qualifications:

  • 5+ years of experience providing executive level administrative assistant support

  • Top Secret/SCI clearance required

  • Ability to perform problem-solving techniques and perform analytical skills

  • Ability to perform multiple tasks and manage a complex and every changed executive calendar and schedule

  • Proficiency with Microsoft Word, Excel and Outlook.

This position is offering a pay range of $70,000 to $85,000 depending on experience, seniority, geographic locations, and other factors permitted by law.
