Job Description:

We are seeking a dynamic and detail-oriented Executive Assistant to provide top-notch administrative support to our Chief Executive Officer (CEO). This pivotal role requires impeccable organizational skills, effective communication, and the ability to manage multiple priorities. The successful candidate will play a crucial role in enhancing the CEO's productivity and ensuring the smooth functioning of executive activities.

Key Responsibilities:

  • Maintain the CEO’s calendar, exercising considerable discretion and judgment as to priorities and effective use of the CEO’s time.

  • Manage and optimize the CEO's schedule, appointments, and travel arrangements.

  • Act as the primary point of contact between the CEO and internal/external stakeholders.

  • Prepare and coordinate materials for meetings, ensuring the CEO is well-prepared and briefed.

  • Provide a bridge for smooth communication between the Executive Suite and internal departments; demonstrating leadership to maintain credibility, trust, transparency and support with senior management staff.

  • Display efficient work management skills that reflect efficient planning and scheduling of work assignments and the ability to prioritize and meet deadlines.

  • Handle executive correspondence, including emails and phone calls, in a professional and timely manner.

  • Manages and logs incoming scheduling requests, reschedules meetings as necessary, proactively communicate changes, and anticipates and responds to scheduling conflicts

  • Conduct research and gather data to facilitate informed decision-making by the CEO.

  • Assist in the preparation of reports, presentations, and other executive-level documents.

  • Coordinate special projects and initiatives as directed by the CEO.

  • Demonstrate initiative and self-management reflective of being proactive and problem solving with limited to no supervision.

  • Maintain confidentiality and discretion when handling sensitive information.

Ideal Candidate:

With these responsibilities in mind, our “Ideal Candidate” should possess the following attributes:

  • Minimum three years of experience as an executive assistant, preferably supporting C-level executives.

  • Exceptional organizational and time-management skills that reflect ability to perform and prioritize multiple tasks seamlessly with excellent attention to details.

  • Demonstrate proficiency in Microsoft Office software applications and the ability to adapt to new technologies.

  • Professionalism and strong interpersonal skills to ensure all encounters are handled in a professional and courteous manner.

  • Highly resourceful team player with the ability to also be extremely effective independently.

  • Professional proficiency in Japanese and English.
