Clinical Architecture Executive Assistant to the CEO in Carmel, Indiana

Overview

As the Executive Assistant to the CEO, you will be responsible for providing high-level administrative support to the CEO and acting as a strategic partner in managing the day-to-day operations of the executive office.You will handle a wide range of administrative tasks, help prioritize and manage schedules,facilitatecommunication, and ensure the CEO's time isoptimizedto focus on key strategic initiatives. This role requires exceptional organizational skills, attention to detail, discretion, and the ability to work in a fast-paced environment.

This role is required to be on-site at our Carmel, IN Headquarters.

Responsibilities

Calendar and Schedule Management:

  • Proactively manage and prioritize the CEO's calendar, ensuring effective time utilization and optimal scheduling.
  • Coordinate and schedule meetings, appointments, conferences, and travel arrangements, considering time zones and logistics.
  • Prepare meeting materials, agendas, and presentations as required.

Communication and Correspondence:

  • Act as the primary point of contact for internal and external stakeholders, maintaining professionalism and confidentiality.
  • Draft and compose correspondence, emails, reports, and other documents on behalf of the CEO.
  • Screen and direct incoming calls, messages, and inquiries, handling inquiries appropriately and providing timely responses.

Information Management:

  • Collect, organize, and maintain confidential information, documents, and files in both physical and digital formats.
  • Conduct research, gather data, and prepare reports or summaries as needed.
  • Assist in preparing board materials and executive-level presentations.

Administrative Support:

  • Coordinate and facilitate executive meetings by managing logistics, preparing agendas, taking minutes, and ensuring follow-up on action items.
  • Manage travel arrangements, including booking flights, accommodations, ground transportation, and visa arrangements when necessary.
  • Process expense reports, invoices, and financial documents accurately and promptly.

Relationship Management:

  • Cultivate positive relationships with internal and external stakeholders, demonstrating professionalism and diplomacy.
  • Collaborate with other departments and teams to ensure efficient cross-functional communication and execution of initiatives.
  • Represent the CEO in meetings, conferences, and other events when required.

Qualifications

  • Bachelor's degree in business administration, healthcare management, or a related field is preferred.
  • Proven experience, 5+ years experience as an executive assistant or similar role supporting C-level executives.
  • Strong knowledge and understanding of the healthcare industry and related software solutions is highly desirable.
  • Exceptional organizational and time management skills, with the ability to handle multiple tasks simultaneously and prioritize effectively.
  • Excellent written and verbal communication skills, with the ability to interact professionally at all levels.
  • High level of discretion, integrity, and confidentiality in handling sensitive information.
  • Proficient in using productivity tools, such as Microsoft Office Suite, calendar management systems, and video conferencing platforms.
  • Ability to work independently, take initiative, and make sound decisions in a dynamic and fast-paced environment.
