Reporting directly to the Payroll Manager, this role will be responsible for ensuring compliance with applicable federal, state/provincial, and local payroll tax regulations for a multi-state (50 states), multi-employer corporation (US and Canada). The Payroll Tax Specialist will also provide support to the payroll team’s processes and will work in close collaboration with the Payroll Manager, HRIT team, 3rd party tax vendor, Indirect Tax, Treasury and Legal.

Responsibilities:

  • Assist with research and remain current with payroll tax compliance regulations by utilizing resources subscribed to by Enviri in addition to Vertex and official federal/state/local websites to ensure compliance.

  • Responsible for accurate employee tax set up in payroll.

  • Generate, balance and submit periodic US and Canada tax files to tax vendor, reconciliation of impound invoices and generation of weekly journal entries.

  • Set up new tax jurisdictions with tax authorities, ID set up in applicable system(s) and with tax vendor. Responsible for obtaining POAs and assigning TPAs on state websites.

  • Liaise with tax authorities and tax vendor to ensure timely tax notice resolution and resolution tracking.

  • Perform monthly, quarterly, annual tax audits and reconciliations to include year-end W-2, T4, RL1s.

  • Effectively and sufficiently respond to payroll tax inquiries and resolve discrepancies, escalating to management as required.

  • Assist in both internal and external audits as needed.

  • Perform payroll support functions to include but not limited to employee W4 updates, printing and shipping of live checks, review of payrolls prior to finalization.

  • Timely and accurate maintenance of all tax spreadsheets to include rate changes, amendments, online passwords, tax notices, applied for jurisdictions.

  • Reviews and processes payroll tax adjustments.

  • Retention of all supporting documentation on the payroll shared drive by applying the pre-established, organized and deliberate methodology.

  • Provide high-level, quality, professional customer service and maintain positive relationships with our employees.

Education, Background, Experience & Qualifications:

  • 3+ years federal, state and local payroll tax experience for multi-state employer. Must have the following proven experience: Tax notice research/resolution, new tax account set up, quarterly/annual tax filing reconciliations.

  • Experience with Canadian federal and provincial payroll tax preferred but not required.

  • Knowledge of PA Act 32 required.

  • Must be proficient in MS Office with above average proficiency in MS Excel (pivot tables and vlookup).

  • Ability to work independently with strong organizational and time management skills.

  • Ability to multi-task, prioritize and meet dynamic deadlines with short notice.

  • Attention to detail and accuracy with quantitative and qualitative data.

  • Proactive, motivated and results oriented individual capable of partnering with finance, human resources and HRIT.

  • Strong communication skills including written, verbal and presentation. Ability to communicate effectively and professionally with all levels within the organization.
