The Administrative Coordinator oversees and facilitates the daily operations of a robust midwifery group. The right candidate will plan and organizes the work of support staff, maintains service standards, and act as a resource to providers, other clinicians, and overall department staff. They serve as a role model for promoting excellent care with compassion, maintaining effective workflows, and interacting with patients, families, and other colleagues. Ideally, they have a keen interest in reproductive health and enjoy working in a progressive and fast-paced environment centered in patient-based, evidence focused care.

Job Description:

Essential Duties & Responsibilities (including but not limited to):

  1. Performs administrative duties and special projects for the department leadership.

  2. Perform weekly timekeeping reconciliation for the Midwifery division in Kronos.

  3. Update the midwifery call schedule on AMION (online scheduling system).

  4. Schedules appointments for and maintains calendar of the Director of Midwifery.

  5. Prepares agendas, collateral materials, and reports for weekly department meetings. Records minutes of meetings, monitoring follow-up of decisions and action items.

  6. Coordinates the onboarding process for both temporary and regular staff and midwifery students, including but not limited to scheduling Epic training, obtaining IT access, ID badges, and site access. Also, coordinates the off boarding process when a temporary or regular employee leaves the practices to ensure access is terminated and MAPS/Hospital property is returned.

  7. Assist with student paperwork and schedule management

  8. Prepares monthly reports and statistics. Schedules monthly literature/case review presentations and guest speakers. Assists with technological aspects of presentations.

  9. Maintains departmental files, consisting of correspondence, schedules, departmental minutes, and reports.

  10. Assists the Director of the department, as directed, in the performance of his/her responsibilities (e.g., in disseminating information to staff regarding departmental and hospital policies and procedures, and in special projects).

  11. Coordinates the application process for medical staff privileges for the division of midwifery and credentialing in conjunction with the Medical Staff Office, coordinates the orientation of new medical staff, and the annual evaluation of medical staff.

  12. Answers telephone calls and maintains practice email account for the Midwives at Mount Auburn, taking messages, providing information, referring calls, and answering questions as appropriate.

  13. Data analysis and reporting: Work with Administrative Director and department leadership to identify opportunities for improvement. Create reports, graphs and other methods to visualize data. Collaborate with team members to collect and analyze data and create presentations and reports based on recommendations and findings

  14. Report data to national databases (i.e. American College of Nurse Midwives benchmarking surveys). Currently using Epic reporting.

  15. Assist with childbirth education including working with Childbirth Education Director and Administrative Manager to support patient registration and answer questions related to classes.

  16. Updates and maintain department outreach efforts: Meet the Midwives, phone/email inquiries, patient inquires, feedback and complaints.

  17. Supports and collaborate on additional outreach/research projects within the department, as needed.

  18. Help plan social and wellness initiatives for the Midwifery group.
