Job Summary

Our IPHQ shared service team provides intellectual property services to our talented IP colleagues and internal clients at TTI’s business units around the world. We’re looking for an exceptional, versatile IP docketing specialist to help us fulfill this mission. The successful candidate will partner with business units to docket patent and trademark matters in our intellectual property asset management systems, and ensure data accuracy and completeness of associated records. Additionally, this position will perform configuration and maintenance activities, develop and implement docketing processes and procedures, and coordinate with internal stakeholders and external providers.

Responsibilities

  • Docket US and international patent and trademark records for outsourced and insourced matters, including entry and maintenance of prosecution data and portfolio metadata.

  • Perform docket configuration and customization operations to meet business units’ current and evolving needs.

  • Assist with the building and dissemination of reports, dashboards, templates, and workflows for use by IP teams and client groups.

  • Build close ties with IP stakeholders across TTI, becoming a key docketing resource to local teams.

  • Provide tactical support and training to IP team members who utilize TTI’s IP management and invoice submission systems.

  • Coordinate with external partners who interact with TTI’s IPM and invoice submission systems, as well as with the associated vendors of those systems.

  • Conduct ongoing audits of system data and take corrective action as required.

  • Research IP asset status through web portals and inquiries to US and international IP offices, law firms, and IP service providers.

  • Help drive adoption of best practices for docketing of insourced and outsourced patent and trademark activities and related data maintenance.

  • Team up with stakeholders on initiatives related to design and distribution of reports; system reconfiguration; M&A transactions; invoice submission; and other IP matters.

  • Other duties as assigned.

  • Engage closely with TTI sites in Brookfield, WI, Fort Lauderdale, FL, Greenville, SC, Charlotte, NC, Europe, and China.

Minimum Qualifications

  • 2+ years of substantive patent and trademark docketing experience in a law firm or corporation.

  • Knowledge of US and international patent and trademark practice.

  • Demonstrated success working collaboratively with colleagues and clients.

  • Meticulous and efficient performer, fast learner, critical thinker, and creative problem solver.

  • Tech-savvy, including proficiency using docketing / IP management software, Excel, and other relevant software on at least an intermediate level, with a willingness to learn and become expert in new software.

  • Excellent oral and written communication skills.

  • Able to multitask in a fast-paced environment and open to tackling new types of projects.

Preferred Qualifications

Experience with:

  • Anaqua and Legal Tracker (Serengeti Tracker).

  • Other IP management systems such as WebTMS, IPFolio, and Symphony.

  • Constructing and running reports tailored to the needs of IP teams and stakeholders.

  • Configuring and updating IP asset management systems and invoice submission systems.

  • Developing and optimizing docketing processes and procedures.

  • Planning and executing projects requiring the updating of large docketing data sets, such as related to M&A activity or internal reorganizations.

  • Training personnel on docketing basics and best practices.

Other Skills

  • Experience preparing and filing prosecution documents with the United States Patent and Trademark Office.
