Brief Position Overview

This position provides an opportunity to help facilitate MSU’s core missions of integrating learning and discovery by managing the Undergraduate Scholars Program. The Undergraduate Scholars Program Manager will use solid communication, organizational, and administrative skills to coordinate our diverse and multifaceted undergraduate research program and partnerships.

Position Details

General Statement

The Undergraduate Scholars Program ( USP ) promotes integration of undergraduate discovery and learning by facilitating authentic, hands-on, faculty-mentored research, scholarly, and creative projects. USP solicits proposals from and administers grant awards to undergraduate researchers and cooperates with partner programs across campus to bring the benefits of undergraduate research to students in all academic disciplines.

Duties and Responsibilities

  • Assist the Director of Undergraduate Research in managing award proposals, travel awards, applications, and partnerships.

  • Coordinate efforts across several programs, strengthening partnerships and maximizing student outcomes. Participate in strategic planning with partner groups across the MSU campus.

  • Work with the MSU Student Research Council and the Director of Undergraduate Research to plan and execute research consortiums in fall and spring.

  • Manage the USP’s communications and event planning including overseeing logistics, marketing, maintaining the USP website, and creating digital and printed outreach materials.

  • Work closely with Fiscal Shared Services and Human Resources to perform accounting and processing functions, onboarding, payroll management and records management.

  • Prepare and monitor budget with the oversight of the Director of Undergraduate Research.

  • Oversee office management tasks such as scheduling meetings, serving as first point of contact for staff, faculty and students, maintaining confidential records, ensuring course scheduling/credits, catering, and planning travel.

  • Supervise student workers with enthusiasm, warmth, organization, and dedication to their growth and education.

    Required Qualifications – Experience, Education, Knowledge & Skills

  • Bachelor’s degree or an equivalent amount of education and/or experience.

  • Progressively responsible administrative/office management experience or equivalent combination of relevant education and experience.

  • Outstanding organizational skills and attention to detail.

  • Ability to follow administrative procedures, meet deadlines, organize, process & analyze data, and manage/prioritize large projects.

  • Demonstrated effective communications and customer service skills.

  • Ability to work efficiently with standard office equipment, computers and software. Proficiency with Microsoft Office software suite including Word, Excel, and Outlook, plus a willingness to learn specialized software as needed.

    Preferred Qualifications – Experience, Education, Knowledge & Skills

  • Research Master’s degree and/or background in teaching or educational administration.

  • Demonstrated competence managing fiscal and budget records.

  • Knowledge of undergraduate research programs & procedures.

  • Knowledge of MSU policies, procedures, and systems.

  • Experience working in an academic department in higher education setting.

  • Background in web design. There are free classes available to staff that would like to learn the MSU Content Management System ( CMS ).

  • Demonstrate competence organizing and prioritizing multiple work assignments, meeting deadlines, and exercising adaptability to changing priorities while maintaining a positive, effective, and professional attitude.

  • Consistently exercise initiative, good judgment, and effective time management with minimal supervision.

This position may require occasional weekend or evening work for special programs and events.
