Job Description: DEPARTMENT OVERVIEW & POSITION SUMMARY: This position is responsible for supervising and/or processing, recording and reporting of all financial transactions for the college while maintaining compliance with both college internal controls and all governmental requirements and laws. REPORTS TO: Assistant Vice President for Fiscal Affairs SUPERVISION EXERCISED: Professional and Classified staff in Accounting Services SALARY: $100,000 - $110,000, Commensurate with experience Position is governed by the APA collective bargaining agreement NO APPLICATIONS WILL BE ACCEPTED VIA MASSCAREERS. ALL APPLICANTS MUST APPLY THROUGH* https://massart.interviewexchange.com/static/clients/576MAM1/index.jsp* KEY RESPONSIBILITIES: * Manage the day-to-day activities of the Accounting Services department including expenditure, accounts payable, general ledger, budget monitoring, and reporting and MMARS areas. * Point person for all Mass Art accounting related questions. * Prepare and process College financial data for internal and external reporting requirements. * Management and maintenance of all general ledger account balances including assets, liabilities, revenue, expenses, fund equity accounts and department balances. * Maintain all inter fund accounts to ensure accounting stability. * Oversee and/or process all journal entries. * Oversee and/or process and record all bank and cash transactions. * Plan, manage and process weekly, monthly and year-end closings of account processes and general ledger accounts. * Participate in annual and ad hoc audit activities. * Supervise all cash disbursement activities. * Review and approve all accounts payable transactions. * Review and approve all documentation for all cash disbursements. * Review documentation and process payments to non-resident aliens (NRA). * Develop and maintain expenditure guidelines for use by the MassArt community. * Provide monthly or as needed training to the Mass Art community on all expenditure processes and procedures, including events. * Recommends new approaches, policies, and procedures to continually improve efficiency of the department and services performed. * Provide assistance to the Mass Art Community relating to all expenditure issues. * Review bank transactions and produce required bank reports daily. * Transfer funds between college bank accounts or weekly as needed. * Communicate with the bank and supervisor on all bank related anomalies. * Advise and educate MassArt Community of all state and federal tax obligations. * Determine monthly amount of state sales tax payable. * Determine monthly amount of federal and state payroll taxes payable for NRA's. * File monthly reports for all tax obligations. * Process payments for all tax obligations. REQUIRED QUALIFICATIONS: * Education: Bachelor's degree in accounting or related field. * Experience: 8-10 years full-time accounting experience & 3-5 years supervisory experience. Preferred Experience: * Higher Education (Public) in Massachusetts * Experience with ERP software (Colleague) preferred. * Familiarity with Massachusetts Accounting systems and/or other budget and financial systems. KNOWLEDGE, SKILLS, AND ABILITIES: * Ability to exercise discretion and good judgment with confidential/sensitive material and information. * Strong analytical skills. * Demonstrated experience and ability to work effectively with various computer systems, e.g., Microsoft Office, database management, and presentation software. * Excellent interpersonal, organizational, and communication skills. * Ability to collaborate in a team-based environment and interact effectively. * Ability to work effectively with a wide range of individuals, including administration, faculty, staff, and students. * WORKING CONDITIONS: Consistent with those of a traditional office environment, including * Occasional reaching, pushing, grasping and pulling. Lifting of up to 10 pounds. * Frequent standing and walking * Constant viewing of computer screens and reports, sitting, repetitive motion, talking and hearing.
