Job Overview:
The Accounting Administrative Assistant is a key member of the Client Accounting Team. This position will provide administrative support while coordinating a variety of tasks and responsibilities within the department. The Accounting Administrative Assistant is responsible for supporting the administrative tasks of the department along with the on-site accounts receivable function.

Your Responsibilities:
Â
Accounts Receivable
- Receive and sort checks for appropriate processing based on dollar value and payee
- Deposit checks as needed
- Research and investigate issues with checks posted and support the accountants with locating source documents
Audit/Tax
Assist with compilation of audit data
Compile documents within internal file shareÂ
- Pull various reports
- Provide additional documentation as requested
Approve invoices for Audit/Tax services
Cross reference invoice amounts against engaged services
Review Posting and Tax Return Mailing
Printing, compiling, and mailing of tax returns to appropriate parties
- Track Audit and Tax filing statuses to ensure timely completion
New Property Set Up
Coordinate new property/association set up
Units
- Residents
- Balances
Budget Preparation
- Create budget template shells
- Extract data from multiple sources (Jenark, SharePoint)
- Import extracted data into budget templates
Other
- Secretary of State Annual Business Renewals
- Semi-Annual Property Tax submission
- Scanning of all accounting mail received
- Deposit and recording of Holiday Fund contribution
- Assist in annual 1098 preparation
- Respond to client requests and questions
- Miscellaneous data entry
- Other related duties as assigned

Skills & Qualifications:
- 1 year of office administrative experience
- Post-secondary accounting education is preferred
- Strong interpersonal skills
- Highly motivated and self-starter
- Proven attention to detail and accurate
- Works well under pressure to meet deadlines
- Ability to work independently with minimal supervision
- Strong verbal and written communication skills
- Excellent time management and organizational skills
- Must be able to thrive in a fast-paced environment
- Proficient in MS Office (Outlook, Excel, etc.)

Physical Requirements:
- Sitting at a desk for extended periods of time
- Vision and hearing for computer and phone use
- Dexterity for keyboard and mouse use
- Ability to move up to 30 pounds
