Job Responsibilities

  • Manage the Logbooks held on-site, E-logbooks, Scheduling daily reactive and PPM's.

  • Managing contractors while on-site, assist in coordinating upcoming works and projects

  • Liaising with contractors and arrange site maintenance services.

  • Assisting in contractor management of FM services, including HVAC, Fire Safety, Soft & Hard FM, Security, Water Treatment.

  • Creating PTW for all scheduled works.

  • Providing or coordinate escorting duties and access requests as and when needed.

  • Ensuring any remedial action from checks and contractor site visits are reported and progressed.

  • Providing daily reminders of scheduled works to Client and FM Team.

  • Working with stakeholders to ensure all aspects of Training for New Starters, Contractors, and existing staff are completed.

  • Ensure QHSE documentation is maintained and readily available using CBRE systems e.g. Logbooks, Hazard Reports, training & competency records, eLogbooks, PPE, toolbox talks.

  • Manage CAFM system including PPM records, reactive maintenance jobs and reporting.

  • Communicate effectively and build/maintain relationships at all levels with internal and external customers.

  • Ensure site files (electronic and hard copy) are up to date and maintained in an orderly manner.

  • Support with planning and arranging call outs, maintenance visits, delivery of materials, Extra Works within contracted SLAs.

  • Support with routine legionella control activities e.g. tap temperatures and flushing.

  • Complete low risk reactive repairs such as replacing lamps, grounds maintenance tasks.

  • Assist with meeting room set-ups and furniture relocations.

  • MS Office skills (Word, Excel, Outlook)

  • Must be able to work as part of a team

  • Contract / Supplier Management Skills

  • Confident decision maker

  • Evidence of Excellent Customer Service Delivery

  • Operational experience of managing Environmental, Health & Safety and Quality Systems
