nVent Associate Admin & Reception in Bangalore, India

WHAT YOU WILL EXPERIENCE IN THIS POSITION:

  • Manage clients/visitors, calls and reception.

  • Coordinating and arranging meetings.

  • To assist in Hotel Contracts, hotel booking, travel management, courier, pantry, housekeeping and stationery requirements.

  • Provide onboarding and exit process support by coordinating with IT Team for Laptop setup , arrangement of Handsets, Sim card, Corporate Credit Card and Concur for the new joinee

  • Coordinating with printing vendors and arranging business cards, ID cards for the office staff as per requirement

  • Provide onboarding and exit process support by coordinating with IT Team for Laptop setup , arrangement of Handsets, Sim card, Corporate Credit Card and Concur for the new joinee.

  • To ensure administrative support in onboarding process by keeping all the required things ready prior one day before employee joining.

  • To keep track of housekeeping activities on daily basis.

  • To coordinate with procurement department on office administration requirement.

  • To ensure AMC renewal on time of all service providers.

  • To ensure employee transportation and On call cab reach factory on time without any delay. Keep track on daily KM.

  • To ensure all bills received on time from vendor and submit error free bills to finance for payment before finance 24th of every month.

  • Working with IT and local service provider to continually check for better telephone plans.

  • To monitor the pantry requirements and House Keeping material stock requirement.

  • Coordinate with building maintenance team for assistance / repairs of office premises.

  • To provide administration budget to Finance department on monthly basis .

Contracts Manpower Management:

  • To keep record of all Contracts attendance and Headcount within the budgeted number.

  • Ensure on time renewal of agreements.

  • Ensure Contract role employees contract reviewed timely manner to ensure and renewed on time.

  • To ensure vendor pays all the statutory payments like PF ,ESIC on time.

Vendor Management:

  • To identify cost reduction sources.

  • To maintain the vendor records as per vendor tracker format on regular basis.

  • Conduct Regular vendor audits and ensure to close open points within due date.

  • To track vendor bills and ensure timely payments based on appropriate approvals.

Attendance Management

  • Daily track of on roll and contract employee attendance and shift in Matrix software.

  • Monitor and track Direct Labor – On roll & Contract employees Overtime and ensure as per local law they should not cross monthly OT limit .

Payroll Process

  • Support HRBP by providing payroll inputs such as attendance summary, leave summary, other deductions on monthly basis.

Employee Engagement:

  • Coordinate with HRBP to arrange HR connect meetings with team and action points for open points.

  • Ensure to conduct employee monthly committee meetings and action points for open points.

  • Support in Employee Engagement activities.

YOU HAVE:

  • Academic background in Graduate in any specialization with min 4-6 years of working experience

  • Previous experience in or with min 4 to 6 years of proven experience in reception and office administration.

  • Skills:

Strong working knowledge of Microsoft Office.

Fluent in English, Kannada is must and Hindi is added advantage.

Ability to work well both independently and as part of a team.
