Johns Hopkins University International Services Administrator in Baltimore, Maryland

The Office of International Services (OIS) is seeking an International Services Administrator . This frontline team position assists in the operation of the OIS by providing basic immigration advising and administrative support. The International Services Administrator provides assistance with general office and administrative tasks and projects that require knowledge of immigration regulations and processes pertaining to international students, scholars, and employees. The position serves as a Designated School Official (DSO) for the student (F-1) program working individually and with other staff to ensure compliance with immigration regulations and reporting requirements.

Specific Duties & Responsibilities

Serve as a Designated School Official for Student and Exchange Visitor Programs (SEVP).

  • Generate immigration documentation (I-20 forms) and independently issue letters for Social Security Numbers of new and continuing international students and exchange visitors.

  • Respond to inquiries from international students and scholars that require knowledge of immigration regulations.

  • Independently process immigration benefits for international students and scholars that require knowledge of immigration regulations.

  • In communication with the supervisor and OIS advisors, proactively assign, schedule, and amend international student advising hours to ensure coverage during all published advising hours.

  • Refer clients to other university resources or make direct connections to partners on behalf of clients as needed.

  • Manage intake and distribution of email inquiries and casework for advising staff and develop and oversee a back-up coverage plan.

  • Maintain student and scholar records in the SUNAPSIS database to ensure accurate and consistent recordkeeping.

  • Process H-1B, O-1, and Permanent Residency immigration documents, including, but not limit to, I-797 forms and USCIS petitions and communicate directly with clientele when needed.

  • Process and submit check requests to Accounts Payable as needed.

Perform office/administrative tasks and projects.

  • Oversee coverage of main telephone line, and in communication with advisors and supervisor, proactively develop and oversee a back-up coverage plan.

  • Respond to telephone and electronic inquiries from a variety of sources on general matters in accordance with established guidelines and policies.

  • Receive and process office mail deliveries.

  • Hire, supervise, train, schedule, monitor, and evaluate performance of student workers.

  • Complete monthly tally of service measures and explore automated solutions to generate metrics.

  • Obtain and use procurement card for office-wide purchases, document transactions, and reconcile monthly expense statements.

  • Must be available to travel onsite infrequently and on short notice.

  • Perform other duties as assigned.

Minimum Qualifications

  • Bachelor's Degree in a related field.

  • One (1) year of related work experience.

  • Must be U.S. citizen or Permanent Resident to meet regulatory requirements as a Designed School Official and Alternate Responsible Officer.

  • Additional education may be substituted for experience.

Preferred Qualifications

  • Experience in serving clientele via email and telephone communication.

  • Exceptional customer service skills and demonstrated ability to successfully probe and anticipate actual client needs.

  • Employment experience in higher education, especially in student development theory and practice.

  • Demonstrated ability to work independently on multiple complex tasks with limited supervision.

  • Strong analytical and organizational skills.

  • Excellent written and oral communication skills.

  • Knowledge of immigration regulations for international students and scholars.

  • Demonstrated knowledge of standard office procedures and proven administrative practices and principles.

  • Experience with using an online database such as SUNAPSIS and/or SEVIS.

  • Proficient in MS Office applications including Word, Excel, Outlook, and Teams.

  • Knowledge of university student and personnel information systems.

Role/Level/Range: ACRP/03/MB

Starting Salary Range: $40,900 - $71,600 Annually (Commensurate with experience)

Employee group: Full Time

Schedule: Monday through Friday, 8 a.m. - 4:30 p.m.
