The Program Coordinator’s primary function will be to assist in administering the General Surgery Residency Program and coordinate with others on affiliated training and education programs within the Department of Surgery. The position will work closely with the Residency Program Director and Associate Program Directors, and will report to the residency Associate Director of Programs. The position will also work closely with other members of the Office of Surgical Education. The position will include liaising with other sites, especially Department of Surgery at Grady Memorial Hospital, and will include work time at Grady.

Performs or coordinates administrative activities associated with complex residency programs. These programs generally involve over 70 residents, last more than three years, and involve at least eight training sites. Primary duties are organizing, coordinating, and planning operational facets of a program and its related activities which include, but are not limited to the following: establishing long-term operational objectives, researching factors that may impact the success of the program, and working with individuals or groups to research and document program requirements in order to provide appropriate input into the development of strategic plans. Develops work plans to accomplish program goals and objectives and monitors progress toward their achievement. Develops promotional materials which may include content for reports, briefings, newsletters, grants, flyers or other written information related to the program. Maintains required record-keeping and Access database pertaining to the surgery residency program. Prepares operational and statistical reports. Represents the program at meetings and conferences, and networks with affiliated groups. May supervise assigned project staff, interns and/or volunteers. Performs related responsibilities as required. This is not an administrative support position.

JOB DESCRIPTION:

  • Develops work plans to accomplish program goals and objectives and monitors progress toward their achievement.

  • Conducts research and gathers information to develop various publications. Develops promotional materials which may include content for reports, briefings, newsletters, grants or other written information related to the program.

  • Assists in developing and coordinating program-related conferences, conventions, or meetings.

  • Monitors expenditures and may participate in the budget planning process and prepare financial reports.

  • May assist in identifying funding resources and developing fund-raising strategies and initiatives.

  • Prepares operational and statistical reports. Conducts training, represents the program at meetings and conferences, and networks with affiliated groups.

  • May supervise assigned project staff, interns and/or volunteers.

  • Enter monthly resident call schedule

  • Manage monthly Visiting Residents

  • Monitor ACGME for resident case logs.

  • Plans or assists in planning resident orientation.

  • Maintains residents' academic files including rotations, evaluations, curriculum, and other critical documentation.

  • Assists in residency recruitment programs by preparing for applicant interviews.

  • Assists in resolving foreign nationals' visa issues.

  • Maintains required record-keeping and databases pertaining to the surgery residency program.

  • Assists in preparing budgets and in tracking expenses (reimbursements). Performs related responsibilities as required.

  • Assist with educational courses and/or simulation (e.g., didactic conferences, peer coaching, hands-on labs, etc.) – may make necessary facility arrangements; prepare course materials, instruments or special materials; may collect pre- and post-course evaluations, attendance logs, additional required course paperwork.

  • Maintain inventory of supplies and instruments; work with other staff to ensure adequate supply levels for planned courses.

  • Transcription of committee meeting minutes.

MINIMUM QUALIFICATIONS:

  • Bachelor's degree in a field related to the program and two years of related experience, or an equivalent combination of education, training and experience.

PREFERRED QUALIFICATIONS:

  • Must be flexible and adaptable – the position requires working on cyclical projects that may vary in priority.

  • Must have the ability to appropriately handle stress during busy season and interact with others

  • Must be able to work independently and adapt to working from multiple locations (e.g., Grady) at various times.

  • Proficiency in Microsoft Office package, including Access, Excel and PowerPoint; strong communication and writing skills and attention to detail required.

  • Must be able to work independently as well as in a team environment. Familiarity with ERAS, New Innovations and CANVAS desirable.

  • Prior experience with ACGME accreditation requirements and processes a plus.

  • Commitment to graduate medical education and training programs desirable.

NOTE: This role will be granted the opportunity to work from home regularly but must be able to commute to Emory University on a flexible weekly schedule based upon business needs. Schedule is based on agreed upon guidelines of department. This role requires residency in the state of GA. Emory reserves the right to change remote work status with notice to employee.
