Position Summary

The Manager of Finance and Business Operations supports the Director of Finance and Operations and chair of the department(s) that he/she supports. Working in conjunction with the Director of Finance and Operations, assists with the overall administrative management of the business-related functions of the academic, clinical, and research enterprise including budget, facilities and space, finance, grant administration (pre- and post-award), human resources, and information technology.

The Manager of Finance and Business Operations assists in budget preparation and creation based on the short- and long-term needs of the department(s) and institution including growth in academic programs, clinical arenas, and research functions. This involves identifying and addressing capacity and space issues, availability of resources (human and materials), and internal and external funding opportunities.

The Manager of Finance and Business Operations will supervise the activities of the administrative staff in areas including requisitions and purchasing, financial reporting and analysis, facilities maintenance, and performance feedback and evaluations. Additionally, he/she will be involved in the recruitment, retention, and training of staff.

The Manager of Finance and Business Operations is responsible for providing guidance and training to staff and faculty to ensure compliance with internal controls, policies and procedures, and processes of the institution and external entities.

The Manager of Finance and Business Operations represents the Director of Finance and Operations in administrative meetings and conferences. He/she must be able to convey complex financial information to the staff and faculty.

Strategic Impact:

· Enables budget-based decisions and support based on short and long terms needs of the department.

· Serves as business partner to Chair and Director of Finance and Business Operations on all areas relating to financial management for the unit.

· Drives operational improvement to processes and practices.

· Supports planning and execution of financial and operational excellence in the unit.

· May supervise administrative staff in the unit.

· Maintains alignment of financial and operational practices across MSM .

Unit / Department Finance Leadership:

· Builds and maintains financial models to manage annual operating budget, informing business operations and leadership decisions.

· Enables annual budgeting process, coordinates across teams and builds process for timely completion.

· Works collaboratively across units and leaders inside department, coordinating for achieving optimal financial results.

· Supports faculty compensation planning process.

Business Operations and Administration:

· Guides staff and faculty to ensure compliance with internal controls, policies, procedures, and processes across the institution.

· Works collaboratively with leaders of other programs to integrate business practices in financial management and operations of the unit.

· Ensures effective record management practices and execution in compliance with accepted accounting procedures and other compliance standards mandated by federal and state agencies.

· Ensures timely submittals and follow up on personnel actions.

Minimum Qualifications

· Bachelor’s degree from a regionally accredited college or university is required; and

· Minimum 5+ years of progressive finance and business operations experience or relevant work experience; and

· Demonstrated financial acumen, financial skills for modeling, controls and budget management.

· Experience supervising others

· Strong interpersonal and communicative skills; and

· Highly detail oriented, executes with precision and accuracy.

· Ability to convey and explain complex information in a simplified way to others; and

· Proficiency in multi-tasking, time management, and in establishing and organizing priorities; and

· Experience in operationalizing strategic plans at a departmental and organizational level.

Preferred Qualifications

· Undergraduate discipline in Finance, Accounting, or related business discipline and Master’s degree in business or healthcare administration are preferred

· Prior work experience in an academic, clinical, and/or mission area institution

· 10+ years of experience in finance, financial planning and analysis, and managing compliance financial systems.

· Minimum of three (3+) years in a supervisory role

· Experience in supporting the implementation of an institutional strategic mission.

· Understanding of pre- and post-award grant processes and platforms for managing grants and other sponsored program funds.

· Unit / department applicable experience
