Responsibilities*

Administrative Support: (40%)

Provide high-level administrative support and expertise to centers at the International Institute including the Center(s) for African Studies, Armenian Studies, and Latin American and Caribbean Studies.

Maintain telephone and mail triage, assist with directors calendars as needed, and specialized e-mail lists (including MCommunity). Provide expert administrative support to the Global South Centers directors and manager.

Organize and oversee mailings(e.g., event calendars, Annual Reports, and development mailings). Assist with triage in centers' email inboxes as needed.

Respond to phone and email informational requests. Oversee Global South office spaces, including organization, tracking office supply inventory, ordering supplies, identifying space needs, scheduling rooms, and efficiency recommendations.

Programming Support and Event Planning (40%)

Coordinate with LSA Finance and HR and Shared Services Center. Assist with travel and logistics for faculty and staff as needed. Assist with travel and logistical arrangements for guest speakers, and other international visitors as needed; help process required visas and other supporting documents and liaise with the International Center as needed.

Assist with programming initiatives. Schedule meetings, assist with planning conferences and other events (e.g., faculty meetings, student orientations, annual receptions, etc.) as needed.

Help with organization of student-related events, including graduate student orientation, graduation reception, and others. Organize catering, set up and clean up for events, and coordinate event space reservations.

Work with programmers on publicizing events (promotional materials, e-mail, flyers, and invitations). Prepare and execute mass mailings and other high-visibility communications.

Student Supervision & Training (10%)

Hire, supervise, and delegate responsibilities to student employees who support the work across the centers.

Professional Development (10%)

Serve on International Institute committees, maintain or develop new skills as needed.

Required Qualifications*

  • High school diploma or equivalent combination of education and experience

  • Minimum of 4 years experience in administrative work with advancing responsibility

  • Strong attention to detail and ability to follow-through on tasks

  • Excellent interpersonal, verbal, and written communication skills.

  • Ability to take initiative, set priorities, and manage multiple projects simultaneously.

  • Familiarity with Microsoft and Google office suites, and ability to learn new software

  • Can work in an open, shared, and busy office environment

  • A passion for working with people from other cultures and backgrounds

  • Commitment to Diversity, Equity and Inclusion and a respectful, positive approach

Desired Qualifications*

  • A Bachelor's degree in international studies or related field, or an equivalent combination of education and experience.

  • Experience working in an academic environment administration.

  • Familiarity with University policies, and UM financial systems (M-Pathways and Concur), processes and procedures.

Work Schedule

40 hours per week Monday through Friday with occasional night/weekend hours.

Work Locations

The College of Literature, Science, and the Arts has a flexible and hybrid work policy. Work may be performed on campus and remotely as approved by the supervisor.

The salary range for this position is $38,000 to $48,700, please note a higher salary may be offered based on equity and the selected candidate's experience.
