Who We Are

The Office of the Registrar has the primary responsibility of maintaining academic records of all current and former students. The Office of the Registrar has two priority goals: to maintain a high quality of service to all who come into contact with the office, and maintain and protect the academic integrity of the student record in accordance with University, state and federal guidelines.

What We Want

The Office of the Registrar seeks a Senior Administrative Coordinator to oversee the daily operations of the classroom scheduling and registration administration team. The ideal candidate will have previous experience supervising professional staff, managing multiple project timelines and priorities simultaneously, and a strong customer service background. This individual will be primarily responsible for training the campus community in scheduling and registration processes and policies, so system administration or instructional experience is an asset. The successful candidate troubleshoots issues independently and demonstrates a commitment to compliance. Excellent time management and organizational skills are required.

What You Need to Know

Salary Range: $55, ,000.00 - $60,500.00 (Based on selected hire’s qualifications)

Qualifications

Required Education and Experience

  • Bachelor’s degree or equivalent combination of education and experience

  • Six years of related experience in office administration

Required Knowledge, Skills, and Abilities:

  • Attention to detail. Interpersonal and communication skills

  • Ability to multi-task and work cooperatively with others

  • Working knowledge of Microsoft Office product suite

  • Planning and organizational skills

Preferred Qualifications:

  • Working knowledge of Astra Schedule and Banner Student preferred

Responsibilities

Class Schedule Development

  • Supervises daily scheduling operations including SRS workflow processing, group email support for scheduling stakeholders.

  • Coordinates with external department/college partners to prepare fall, spring and summer class schedules for Texas A&M University, Texas A&M at Galveston, Texas A&M School of Law and Texas A&M Health Science Center

  • Responsible for maintaining data integrity and compliance with TAMU and Texas Higher Education Coordinating Board (THECB) rules

  • Reviews and processes schedule update requests to ensure appropriate configurations for registration and fee assessment

  • Coordinates various cyclical and ad hoc projects related to database maintenance, learning environment preservation/maintenance, instructional media upgrade scheduling, final exam scheduling, New Student Conference coordination, and emergency response measures

  • Coordinates and conducts in new user training programs for Astra Schedule, Section Request System (SRS), and Compass/Banner (scheduling related features)

  • Coordinates/performs annual continuing education workshops for existing users

  • Engages with office leadership to provide feedback and contribute to process improvement

  • Routinely makes independent determinations and communicates decisions to campus stakeholders

    Classroom Resource Manager

  • Consults with deans and department heads on the assignment of classroom space to convey best practices for equitable access and maximized efficiency/utilization in spaces reported as 110 General Classrooms to the State of Texas

  • Works with stakeholders to resolve problems concerning access to teaching space

  • Coordinates continuous review of classroom utilization and appropriateness of assignments to ensure maximum possible score on the annual THECB Space Use Efficiency assessment

    Registration Support Coordination

  • Coordinates registration support services for academic advisors and student escalations from Aggie One Stop

  • Serves as a primary point of contact for deans, academic departments, advising offices, and Aggie One Stop for inquiries related to registration administration and setup

  • Works directly with the Assistant Registrar (Scheduling & Registration) to prepare Compass/Howdy and Aggie Schedule Builder for student registration each semester

  • Coordinates the processing of add/drop and late registration requests

System Administration

  • Maintains systems utilized for class schedule development by Texas A&M University, Texas A&M at Galveston, Texas A&M School of Law, and Texas A&M Health Science Center

  • Configures and assigns departmental access roles in Astra Schedule

  • Maintains user security/access in Section Request System (SRS)

  • Provides system administration support for the university’s student schedule planner Aggie Schedule Builder (ASB)

  • Responsible for development and review of security procedures for assigning advisor-level access in ASB

  • Configures and assigns ASB advisor role access. Coordinates new user training

    Event Management

  • Coordinates non-class event scheduling in classroom spaces

  • Administers system security for event scheduling program

  • Coordinates and conducts training programs for event scheduling partners in high volume classroom buildings

  • Maintains event requests forms and workflows in Astra Schedule

    Customer Service

  • Responds to non-routine information and data requests from departments, colleges, and the Office of the Provost

  • Routinely consults with colleges and departments on classroom, scheduling, and registration related best practices

  • Provides expert-level support when troubleshooting and addressing issues
