Grant Thornton LLP HR Risk Operations (COVID-19), Senior Associate in United States
Summary : The HR Risk Operations Senior Associate helps manage and administer key COVID-19 related activities, including testing program administration, vaccine-related accommodation request, regulatory compliance, health & safety programs, people operations, change management and client-related requirements for onsite and offsite staff. The ideal candidate will have previous experience in reasonable accommodation or health and safety administration, process design and implementation, workflow development, protocol writing, data analysis and report management. The Senior Associate will demonstrate flexibility, adaptability, and initiative and may support other HR administrative tasks as needed.
Process COVID-19 vaccine-related accommodation requests from end-to-end, determining accommodation options in accordance with firm guidelines and ADA, state, and local regulations.
Review medical and other sensitive information as necessary to determine if the request meets the requirements under ADA, state, and local regulations. Refer cases as appropriate to Accommodations Committee.
Serve as primary point of contact for inquiries from colleagues regarding their COVID-19-related accommodation request. Inform colleagues of documentation requirements, required time frames, and request status.
Maintain records of accommodation requests in accordance with internal protocols, as well as internal privacy policies and Federal, State, and local privacy regulations.
Maintains knowledge of all applicable accommodation and leave laws including ADA, COVID-19 regulations, Family and Medical Leave, Sick Leave, Disability Leave and state and local laws.
Develop and maintain working relationships with colleagues, managers, Capacity & Resource Management, Workplace Solutions, and Firm leadership during interactive process to facilitate smooth and timely implementation of accommodations.
Health & Safety
Independently manage end-to-end logistics of the firm’s COVID-19 testing program, including registering colleagues for COVID-19 testing on regular cadence and monitoring individual compliance with testing requirements.
Manage relationship with vendors and other third parties involved in health and safety procedures, and mange related expense reporting.
Serve as a resource and provide guidance to managers and colleagues regarding firm COVID-19 policies, including testing, onsite access, and Firm and client vaccination requirements.
Coordinate with internal and external contact tracers when necessary.
Maintains complete and accurate records of sensitive health information and COVID-19 testing records in accordance with specified legal requirements, firm protocols, and documentation of best practices.
Human Resources Operations & Compliance
Recommend and draft new standard operating protocols for newer regulatory and client-driven requirements to ensure compliance with Federal, state, and local laws and regulations. Build efficiency and process improvements into existing operations.
Maintain and analyze data tracking testing, accommodation requests, and other COVID-19 related information, and coordinate accurate and timely reporting to stakeholders.
Serve as liaison between stakeholder groups, including third parties as needed.
Perform other related duties as directed by Colleague Relations & Compliance team.
Supports change management through development and delivery of training to People & Community and service line professionals.
The ideal candidate will possess:
Bachelor’s degree from accredited university in related field or equivalent work experience
Four or more years of experience in a human resources or talent management role, preferably within a consulting or professional services environment
Multi-state employment law experience preferred
Familiarity with HRIS programs (Experience with Oracle HCM experience a plus)
HR /people operations and project management experience required
Excellent written and verbal communication skills – must be able to synthesize through complex information and explain in clear/concise manner
Intense focus on quality and details and strong analytical and critical-thinking skills
Intermediate Excel proficiency preferred (i.e. can independently execute pivot tables, v-lookups)
Strong data analysis and data presentation skills
High level of professionalism, ethical standards and excellent judgment
Strong executive presence and relationship management skills, including the ability to interact and influence various stakeholder groups
Ability to lead across multiple stakeholders to manage cohesive oversight and drive process improvements
Confident and strong personal initiative as someone who is willing to get into the details, roll up their sleeves, and do whatever it takes to get the job done
Collaborative and action-oriented, with ability to react positively and quickly to sudden and unpredictable change
