We’re seeking a Temp to Hire Senior Admin Assistant to work at a global leading biotech manufacturing company in Thousand Oaks, CA. Essential Duties and Responsibilities:
Manages the VP Site Head and Senior Leadership teams’ calendars, which includes using judgment to negotiate and maximize managers’ use of time while addressing needs of the organization, as well as anticipating and resolving scheduling conflicts
Keeps team on track with work commitments
Oversee travel arrangements and plans, including registering leadership team members for conferences and coordinating logistics and itineraries
Manages and prepares travel and assist with complex expense reports
Provide planning and support for onsite meetings including accommodating external company visitors
Screens calls in order to effectively triage or route to the appropriate internal staff members
Assist with planning and coordinating of off site events and dinners
Ensures team members are prepared for project meetings by coordinating and providing all necessary materials as well as supporting managers in developing agendas and documentation as needed
Handles sensitive and confidential documentation, including SOP’s, Confidentiality Agreements
Experience in a roll-your-sleeves up, all hands-on deck startup environment with progressively increasing responsibilities in executive administrative support and office management strongly preferred
7+ years of administrative experience supporting executive level staff REQUIRED
2+ years’ experience in life sciences or biotech strongly preferred
Proficient knowledge of Microsoft Office (Word, PowerPoint, Excel, Outlook)
Experience setting up and running video and/or conference calls using MS Teams
High School degree is required; a Bachelor’s degree in business, science, or communications is highly preferred
Work is onsite Monday-Friday 8am-5pm
Pay rate: $38-48 an hour
