Robert Half International Office Manager and HR Administrator in Tavares, Florida

Description

RESPONSIBILITIES:

• Responsible for developing, maintaining and enforcing office policies and procedures

• Provide administrative support to executives and various other managers as needed

• Facilitate recruiting and onboarding new hires

• Facilitate payroll processing and time records

• Manage accounts payable, scanning and preparing invoices for payment

• Facilitate accounts receivable collections, correspond as needed

• Maintain petty cash

• Assist with budgeting and review of financial reports explaining variances

• Assist with preparing executive reports as needed

• Provide proper building security and key control system & door codes

• Establish and manage relationships with various facility vendors

• Liaise with inventory and supply chain to coordinate deliveries and shipments

• Responsible for office supply orders

• Support all purchasing functions

• Maintain Certificate of Insurance binder for all vendors that work at the facility

• Maintain and communicate office and executive calendars

• Assist with the organization of employee events and meetings

• Create and maintain office layouts

• Prepare expense reports

• Responsible for reception – meet and greet visitors, answer phones

• Prepare and deliver FedEx/UPS and oversee daily mail distribution

EDUCATION, EXPERIENCES AND SKILLS REQUIRED:

• Proficient computer skills including PowerPoint, Word, Excel, Outlook and Internet Explorer

• Must be detail oriented and extremely organized

• Must have excellent customer service skills and demonstrated ability to maintain good relations with employees, supervisors and the public

st have excellent communication skills• Must be able to work independently and be self-motivated

• Must be able to multi-task and meet deadlines

• Must be able to read, write and communicate effectively in English.

• Must have valid Florida driver’s license and personal automobile available to use during working hours, must also be insurable for automobile insurance with company’s auto insurance carrier

• Bilingual (Spanish/English) a plus
