When you join InterSystems Australia, you will be working for a global technology partner, with a local focus. Our award-winning technology is enabling organisations such as Mater Health Services, and the state health departments of South Australia, Western Australia and the Northern Territory to drive their connected healthcare strategies.

We require a highly professional and experienced Executive Assistant to support members of our Global Executive team, as well as provide administrative support to the wider business as part of the admin services team. You will need to be self-motivated, work at a fast-pace and be self-driven in order to organise and coordinate work flow for each of the Executives. Day to day will include diary and inbox management, travel coordination, meeting organisation and document preparation. You will also be required to provide support to others in the business as part of the admin services team and will often find yourself with the opportunity to be involved with projects the company are focused on.

Attention to detail is critical as you will review, edit and proofread various documents for the business. With multiple schedules and deadlines, we require a confident, clear communicator who can use their initiative, is comfortable asking questions and confident in their abilities to find solutions.

The duties include, but are not limited to:

  • Diary and inbox management for your executives

  • Travel management for both domestic and international

  • Preparation and ongoing management of expense reconciliation (using Workday)

  • Managing the Executives' initiatives to ensure deliverables are on target and meet deadlines

  • Correspondence on behalf of the Executives

  • Coordination of meetings

  • Preparing documents/presentations

  • Assist with other adhoc duties including tenders, events, projects as required

Other share responsibilities (with Admin Team):

  • Responding to wider company requests via team inbox

  • Support visiting Executives and VP's

  • Reception relief

  • Weekly Staff Movements

  • Handling Visa applications and regularly updating of other documentation relating to international travel

  • WorkDay Expense reconciliation

Requirements and Skills:

  • Tertiary qualifications in Office / Business Administration would be ideal.

  • Minimum 5 years of experience as an Executive or Administrative Assistant within a corporate environment, ideally at the Executive level

  • The ability to work as part of a team as well as independently

  • Advanced skills in Microsoft Office; Outlook, Office 365 and established applications

  • High level of service, polished, customer focused attitude

  • Strong attention to detail

  • Speaking Mandarin would be an advantage.
