Performs a variety of associated administrative, staff support, and planning activities, some of which require specialized knowledge and skills such as specialized record keeping and database management and/or specified information-gathering processes and tasks. Supports the HIM Department with regard to assistance in Release of Information, Chart Integrity, Analysis and/or Document Scanning units as necessary. Coordinates and facilitates meetings, departmental functions, and/or special events, as appropriate. May coordinate specified departmental activities and reporting across multiple units within the department, as well as across the health system.
Accomplishes routine tasks which include: Compiles monthly statistical reports, maintains control and supplies for the department and processes requests for restocking. Processes daily incoming mail for the department.Compiles tallies for medical record review processes; assists with physician suspension process and completes payroll for HIM Associates.
Organizes, attends, and keeps minutes for various meetings, such as Chart Integrity Committee, HIM Leadership and HIM Team meetings. This may include utilizing presentation software.
Preparation of department check requests and purchase orders. Maintains the HIM data base for policies and procedures and job descriptions. Provides new associates in the department with the Department Orientation and is the department "Ambassador" and/or Safety person. Arranges for new associates to sign all security agreements for computer access and voice mail as needed
Requests repair for equipment and completes facility work orders as necessary. Maintains the calendar for the HIM Leadership team by scheduling meetings and employee performance review schedule.
Enhances personal and or professional growth through education programs and/or classes. Assists HIM staff in scheduling educational sessions and assists in travel arrangements for HIM staff for educating training off site.
To effectively fulfill the requirements of this position, a candidate must have:
High school diploma or equivalent with expertise in the coordination and support of highly complex, frequently changing, highly confidential administrative processes.
Associates degree in Business Administration, Administrative Support or similar preferred. Must possess competency in office business machines and telephone etiquette.
Experience in Microsoft Office programs and EPIC preferred, including Microsoft Word, Excel, and Power Point.
Typing Speed of 50 wpm required.
