Description:Under limited supervision, acts in a lead capacity while performing a multiplicity of assignments including, but not limited to, assists with registration overflow, reviews patient charges for accuracy and entry of charges, order communication in all assigned systems, answers telephone and facilitates other communication and performs unit secretary duties in connection with compiling, preparing and maintaining patient charts and other records. Provides information and communication services to patients, visitors, employees and communication services to patients, visitors, employees and physicians. Is key in maintaining rapport interdepartmentally and with external agencies POSITION PURPOSE

Under limited supervision, acts in a lead capacity while performing a multiplicity of assignments including, but not limited to, assists with registration overflow, reviews patient charges for accuracy and entry of charges, order communication in all assigned systems, answers telephone and facilitates other communication and performs unit secretary duties in connection with compiling, preparing and maintaining patient charts and other records. Provides information and communication services to patients, visitors, employees and communication services to patients, visitors, employees and physicians. Is key in maintaining rapport interdepartmentally and with external agencies.

ESSENTIAL JOB FUNCTIONAL COMPETENCIES:

1.

Demonstrates the knowledge and skills necessary to provide service/care appropriate to the age of the patients served, in accordance with MercyOne standards.

2.

Maintains a working knowledge of orders and understands the supplies/equipment needed by staff, patients, or physicians and orders them independently. Orders and maintains department supplies.

3.

Assists with the coordination of incoming and outgoing communication to the department, including inquiries from patients and the visitor’s intercom. Answers departmental phone appropriately and efficiently, assuring the transmission of communication and relevant information to nursing personnel. Receives and records reports/messages from other departments, and utilizing good judgment, relays information to nurse in charge or other appropriate personnel.

Is accurate and proficient in the review of patient charts and enters charges. Determines that all charges are accounted for.

5.

Completes required training or ADT process, order entry, central scheduling and assigned billing systems. Demonstrates proficiency in the use of computers, i.e., order entry and charges. Maintains patient charts by accurately filing reports and recording information.

6.

Accesses patient accounts to verify and make available charge information to patients and authorized personnel.

7.

Assists and communicates with physicians and nurses by retrieving charts, obtaining requested reports.

8.

Attends and participates in in-services and other meetings as required to maintain skills and upgrade information provided through collaboration.

9.

Escorts patients to appropriate services, monitors waiting rooms, maintains liaison with guards and parking attendants.

10.

Adheres to established department policy and procedures providing input into Continuous Quality Assurance activity.

11.

Maintains an organized unit while recognizing limitations of authority. Collaborates closely with the charge nurse to maintain an organized unit.

12.

Uses problem-solving channels effectively utilizing critical thinking skills.

13.

Orientates new Unit Secretaries and participates in peer review as requested.

14.

Is proficient in the technical and secretarial skill needed to comply with hospital-wide/unit policies and procedures.

15.

Transports specimens to and from lab as requested.

16.

Recognizes and communicates issues/occurrences utilizing established lines of authority, and assists in identifying ways to resolve variances or unacceptable outcomes.

17.

Enters on-line charges for patient-care services; may also be assigned accountability for revenue reconciliation and for charge-error correction as specified by departmental process supporting hospital Revenue Policy.

18.

Actively participates in department meetings, committees, conferences, and in services.

19.

Is knowledgeable of and actively participates in improving patient safety and reducing risk to patients. Complies with Safety and Infection Control Policy & Procedure.

20.

Knows, understands, incorporates, and demonstrates the MercyOne and Trinity Health Mission, Vision, and Values in behaviors, practices, and decisions.

21.

Maintains confidentiality of information pertaining to clients, physicians, employees, and MercyOne business.

22.

Maintains a working knowledge of applicable Federal, State, and local laws and regulations, MercyOne and Trinity Health’s Organizational Integrity Program, Standards of Conduct, as well as other policies and procedures in order to ensure adherence in a manner that reflects honest, ethical, and professional behavior.

23.

Demonstrates general working knowledge of computers and department specific software (i.e. Healthstream, internet, etc.)

24.

Performs other duties and responsibilities as assigned.

MINIMUM QUALIFICATIONS

High school graduate or equivalent degree with post high school related courses required. A minimum of 2 years prior hospital/medical related experience required. Proficient knowledge of Medical Terminology is required. Ability to function effectively under stressful and in emergency situations. Possesses excellent emotional maturity with outgoing personality and self-confident attitude to deal with all levels of the public and/or patients. Has a very strong desire to meet the needs of people and serve the public. Able to prioritize, organize and communicate with many people. Is able to communicate effectively with all members of the health care team. Is able to perform a variety of duties characterized by frequent change. Must have a general working knowledge of computers and department specific software (i.e. Healthstream, internet, etc.) Must be comfortable operating in a collaborative, shared leadership environment. Must possess a personal presence that is characterized by a sense of honesty, integrity, and caring with the ability to inspire and motivate others to promote the philosophy, mission, vision, goals, and values of MercyOne and Trinity Health.

PHYSICAL AND MENTAL REQUIREMENTS AND WORKING CONDITIONS

Must successfully pass employment physical examination and must adhere to applicable organizational requirements on an annual basis for Employee Health Directives. Must possess the ability to comply with MercyOne and Trinity Health policies and procedures. This job is categorized as "Light Work". Has the physical stamina to meet the requirements of this job. Exerting up to 20 pounds of force occasionally, and/or up to 10 pounds of force frequently. Involves sitting most of the time, but may involve walking or standing. Must be able to handle stress effectively. Must understand and accept the possibility of exposure to environmental elements, internal and external, which may affect the work place, such as infectious disease, chemical and/or chemical fumes, dust, noise, physical injury from an out of control patient, and adverse effects of inclement weather which may occur.
