Robert Half International Administrative Assistant in San Francisco, California

Description

Seeking a temporary Administrative Assistant for an established investment company in San Francisco. The duration is anticipated to be about 6 weeks, with the possibility for extension. This person will mainly be doing calendar management, travel coordination, expenses, presentation prep/book binding and phone coverage. They will be working with 2 other peers on the team, and will help with overall administrative support for 3 people. This is a full 40 hours per week.

POSITION OVERVIEW

--Calendar management

--Travel coordination including itinerary, transportation, hotel

--Expense reimbursement

--Diligent coverage of telephone lines

--Meeting coordination including Outlook meeting requests, conference room booking, security clearance, catering

--Presentation preparation including editing, collating and distributing materials

--Maintaining office kitchen area

ABOUT YOU

--Flexible on years of experience and will look at recent grads as long as they have experience with calendar management and utilizing Outlook.

--Experience with calendar management and Outlook is required. Experience coordinating travel and/or expenses will be a huge plus.

--Positive attitude and a team player. This person will be responsible for administrative tasks, but will also take on some office manager-like duties such as maintaining the office kitchen area, so someone who is ready to help wherever need be with a “no task is too small” mindset.

--A person that is is detail-oriented and a good communicator is required. Given that the nature of the role is to help out for a short period of time, someone who can learn and adapt quickly is important as well.

Requirements

Strong interpersonal, verbal, and written communication skills

Strong service orientation; reliable, consistent, proactive

Ability to work in a fast-paced and team-oriented environment, prioritizing effectively

Attention to detail and proficiency with Microsoft Outlook, Excel, and Word

Solid work ethic and positive attitude

Ability to use good business judgement and maintain confidentiality
