Microsoft Corporation Executive Business Administrator in Redmond, Washington

Are you an experienced and energetic Executive Business Administrator who is passionate about supporting dynamic leaders and teams? Do you like the challenge of complex calendaring and working across Microsoft to coordinate customer meetings, events and key RoB meetings? We are looking for an Executive Business Administrator to support senior leader(s) in Digital Security & Resilience (DSR). Come join our team and contribute to the acceleration of Microsoft’s security business while helping influence digital security attitudes and behaviors of employees across Microsoft!

Responsibilities

Key responsibilities:

  • Executive calendar and team Rhythm of Business calendar management

  • Manage leader’s domestic and international business travel logistics and bookings

  • Coordinate leader’s staff meetings, events and off sites, including agenda management, meeting logistics, and material preparation

  • Process and approve expense reports in timely manner while adhering to all Microsoft policies

  • Manage team space assignments and partner with admin team to contribute to return to work space management planning and broader org space planning

  • Maintain and ensure team aliases are up to date

  • Manage team vendor requests in Headtrax (creation, extension, removal)

  • Provide team support for hiring and onboarding

  • Partner with team business manager and broader DSR admin team on special projects and org initiatives

  • Maintain consistent and timely follow through to requests for assistance

  • Ability to look ahead and understand the prioritization of key objectives and tasks

  • Actively partner with DSR admins on org-wide initiatives related to space, hardware, onboarding, and events.

  • Take on leadership role within admin team to support org (Examples: Space Lead, Recruiting Lead, Event Lead)

Qualifications

Knowledge, experience and skills required:

  • Minimum 3 years administrative experience supporting a fast-paced calendar and team

  • Have excellent interpersonal, organizational, planning and time management skills

  • An ability to work independently, deal with ambiguity, and to solve routine problems proactively and effectively. The aptitude for rolling with changing circumstances (direction and strategy) while continuing to have professional and positive interactions.

  • Ability to work well in a changing environment, under pressure, on short-notice, and take appropriate action.

  • High level of self-awareness and executive presence and intrinsic appreciation for the value that admins provide.

  • Adaptable and must work successfully in a team environment, building and maintaining effective working relationships with a diverse group of contributors internally and externally.

  • Must maintain confidentiality of highly sensitive material and information with discretion and professionalism.

  • Excellent organizational, analytical, anticipatory, and written communication skills.

  • Proficiency with MS tools – MS Expense, My Order, MS Approvals, MS Travel, IDWeb. Employee Central, etc.
