The Boeing Company is looking for an Office Administrator to be based in Paris, France.

Position shared Responsibilities:

  • Communicating with suppliers, business partners, PAs, internal and external customers

  • Resolving issues associated with the procurement cycle such as quotes, billing, contracts and other documentation discrepancies to ensure contractual compliance.

  • Assisting in the administration of getting new suppliers connected to the procurement system

  • Recording files forms and repository contracts documentation

  • Hosting meetings, writing minutes , managing staff meetings agendas on various topics and actions defined by manager

  • Arranging Staff seminars when/if needed (travels booking, hotels coordination’s, meetings agendas etc.)

  • As safety focal attending monthly safety meeting with US teams representing the International procurement team

  • Maintaining share drive contents and architecture for all regions, as owner providing access to all contributors, ensuring shared drive clean up and archives on a regular basis

  • Supporting PA’s for spend reports and peer audit process.

  • Supporting PA’s for gathering all projects for monthly presentations

  • Support to BOI France by managing Paris meetings (logistics and VTC as needed)

  • Support to expatriates (cultural guidance, finance, mailings, translations…) as far as mobilization and demobilization if/as needed

  • Support of costs and invoicing, interface with finance and tax focal in Amsterdam and in the US.

  • Support of airport authorization badges as CORSUR delegate on behalf of team lead

  • Support to FSR based in Avord Air Force Base for the MLU Program and for team lead at Roissy airport

  • Support to OKC teams when they come to Paris for meetings (MLU, EES or FCU)

  • Supports for hotel reservations for BDS collaborators coming from the US

  • Work as safety focal for the team

Basic Qualifications for the role:

  • Has excellent written and verbal communication skills in English

  • Has ability to work both independently and collaboratively with different departments

  • Demonstrates organizational and time management skills and ability to multi task

  • Has strong customer service background

  • Is proficient in Microsoft Excel, Word, PowerPoint, OneNote, Adobe Acrobat

  • Enjoys a fast paced, multi-cultural environment and acting as the face and voice representative for the company

Desired but not mandatory skills:

  • Has a graduate degree in administrative/secretarial studies or equivalent or relevant work experience
