Stanford Health Care Manager - Business Operations (Office of the CMO) in Palo Alto, California

Under general direction by the Executive Director of Operations within the Office of the CMO. This position provides leadership in the areas of financial management, budgeting, contract management, human resources, recruitment, communications, purchasing, inventory management, and other department support. Manages material resources and coordinates department projects and activities. Serves as a department liaison to customers and other departments. Provides leadership and expertise on the administrative processes and flow of paperwork within the hospital. Individual will serve as lead for standardizing business process across the OCMO.

  • Coordinates all departmental projects and ensures company resources are utilized appropriately. Compiles project status reports, coordinates project schedules, and manages project meetings. Coordinates project activities and ensures all project phases are documented appropriately.

  • Coordinates Department requests for support from departments such as communications, housekeeping and engineering and maintenance. Serves as the STAR representative, coordinating the installation and maintenance of data and phone communication. Works with representatives from those departments to ensure that quality work is completed on a timely basis.

  • Ensures the efficient management of the Director's schedule as well as Department meetings. Prepares correspondence for the Director or the Department.

  • Manages supplies and inventory management for the department; oversees major equipment and supplies allocation. Facilitates periodic inventory review of all IT equipment and prepares appropriate facility reports as requested.

  • Oversees financial management and budgeting for the department. Audits finance reports and follows-up on any variances and discrepancies; requests adjustments when necessary; ensures appropriate funding for expenditures; manages accruals towards end of fiscal year.

  • Oversees human resources and recruitment and monitors department staffing matrix to ensure department is within approved FTE (Full-time equivalent) count. Provides policy and procedure expertise as requested by the Management Team. Guarantees timely submission of evaluations and leave of absences paperwork.

  • Participates in annual budget process by preparing reports, noting areas where costs exceed budget, opportunities for financial control, and areas where the department has under spent projections.

  • Provides back-up support to administrative support process as required.

  • Responsible for developing customer service skills and promoting employee recognition for the department Implements marketing strategies and policies geared to improve customer service and to boost employee morale.

Minimum Qualifications

Education: Bachelor's degree in a work-related discipline/field from an accredited college or university

Experience: Five (5) years of progressively responsible and directly related work experience

Knowledge, Skills and Abilities

  • Ability to assess and respond to logistical/administrative needs of the department

  • Ability to conceptualize, plan, organize, coordinate, and manage the work of a major program or function within a department

  • Ability to develop financial budgets and manage expenses

  • Ability to develop long-range business plans and strategies

  • Ability to foster effective working relationships and build consensus

  • Ability to handle variety of administrative and support function responsibilities and determine specific course of action

  • Ability to mediate and resolve complex problems and issues

  • Ability to provide leadership and influence others

  • Knowledge of business administration

  • Knowledge of Microsoft Word, Excel, PowerPoint, Visio, Access, Project and Outlook

  • Knowledge of principles and practices of organization, administration, fiscal and personnel management

  • Knowledge of principles and practices of supervision and program management
