Norman Regional Health System Referrals and Prior Authorization Clerk - Rheumatology - Full Time in Norman, Oklahoma

This position is with our Rheumatology Associates, a busy and fun work environment with some of the best Rheumatologists in the Metro.

The Referrals and Prior Authorizations Clerk is a vital part of the clinic; obtains all patient and insurance information and responsible for check in/out patients. Takes lead on processing referrals and prior authorizations. Accurately and timely registers patient upon check-in. Enters all required patient personal, insurance and additional information; scans front and back of insurance card and front of photo ID; collects and scans all required documents with signature (to include PHI and clinic registration form). Indicates arrival status in EMR.

Upon check-in of a return patient, verifies existing data at each visit and updates information as necessary. Notifies personnel of patient arrivals and communicates anticipated wait times or delays.

Upon check-out, schedules future appointments accurately in accordance with the clinic's specific policy.

Highly detail-oriented with a low rate of error.

Meets requirements for criteria by providing a visit summary upon check out and obtaining complete demographic information to include email for access to the patient portal, gender, race, language, and ethnicity. Continues to meet this requirement as criteria changes.

Responsibility and accountability to adhere to attendance and time expectations without waiver.

Pleasantly greets patients and visitors to the office and provides assistance. Represents NRHS and the clinic in a positive and helpful manner in person at all times.

The primary duty for this position will involve quick and accurate processing of referrals and prior authorizations for Rheumatology medications. Answers phone, accurately schedules appointments, and relays messages to the appropriate person. Checks message for completeness, accuracy and spelling errors prior to sending. Always verifies the name and phone number of the caller.

Demonstrates ability to answer multiple phone calls while communicating in a professional manner with physician offices, patients, and co-workers. Identifies self and the clinic when communicating with the caller and represents NRHS in a pleasant and helpful manner at all times.

Communicates effectively with patients, visitors, physicians and co-workers.

Appropriately completes referrals in a timely manner and obtains authorization for referrals when necessary.

Supports patient satisfaction with a friendly, "can do" attitude.

Manages documents appropriately.

Accepts mail and correspondence and delivers/sorts as instructed.

Sends and receives faxes from EMR system, saving the document correctly in the patient's EMR and assigning to the appropriate recipient as instructed. Checks faxes for multiple patients and separates as necessary. Double-checks the telephone number for accuracy on outgoing faxes.

Copies and scans any necessary documentation, saving the document correctly in the patient's EMR and assigning to the appropriate recipient as instructed.

Copies or sends medical records in a timely manner as requested. Properly documents the records sent.


High school diploma or equivalent is required.

Prefer additional education in medical terminology, electronic medical record training, or business classes.


One year clerical experience and six months health-care experience are required preferably in a similar role. Prefer medical office, insurance, hospital or computer experience. Keyboard skills accurate 40 wpm.

Expertise in customer relations, telephone skills and computer applications is required.

Self-motivated to learn and grow, with accountability to adhere to time and attendance requirements.
