Vanderbilt University Assistant Director, Premium Seating and Hospitality in Nashville, Tennessee

Position Summary:

The Assistant Director, Premium Seating and Hospitality is responsible for delivering exceptional customer service with a focus on hospitality and elevating the fan experience through innovative spaces. This position will work closely with multiple internal and external units to provide an exceptional experience to premium seat holders while aiding in the revenue generation efforts for the department.

The Department of Development and Alumni Relations (DAR) assists Vanderbilt University in securing the resources, both human and financial, that are required to achieve its mission and goals. Key Functions and Expected Performance:

  • Assist in the management of the premium seating program for football, basketball, and baseball, including sales, marketing, and game day operations.

  • Assists in the coordination of all game day activities related to premium seating at Vanderbilt University venues including but not limited to; security staff, ticketing, catering/concessions, facilities maintenance, and guest services.

  • Serve as the primary office administrator for the Vanderbilt Experience Center, a space dedicated to the premium seating team that will be accessible for current or prospective clients with an emphasis on providing exceptional customer service.

  • Assist in the management of day-to-day operations for the Vanderbilt Experience Center, including but not limited to scheduling internal meetings and external client appointments, providing hospitable customer service to current or potential clients, and general office supervision.

  • Build and maintain strong working relationships with food and beverage vendors who operate within the hospitality spaces.

  • Collaborate with in-venue food and beverage vendors on menu development, food presentation, service, pricing, and cost control.

  • Train and manage part-time Commodore Concierge Team members.

  • Create training materials and train all temporary employees to provide premium services in all premium areas on home football, men's basketball, and baseball game days.

  • Develop and manage a checklist of duties for both pre-game, in-game, and post-game in all premium seating areas.

  • Assists in the management of contracts, billing, seat inventory, and related ticketing and parking.

  • Troubleshoots patron issues and needs, working in partnership with athletics event management staff.

  • Handle sensitive donor and ticket holder information in the strictest confidence, according to departmental and institutional policies.

  • Build quality relationships with internal constituents, University staff, students, business vendors and all donors and other athletics stakeholders.

  • Assist with the oversight of rental events held within athletics venues.

  • Assist with day-to-day National Commodore Club activities.

  • Strong project management skills and attention to detail.

  • Strong customer service experience.

  • Ability to work independently, take initiative, manage multiple projects simultaneously, meet deadlines and adapt to changing priorities are essential.

  • Work collaboratively with other DAR Athletics teammates to ensure that projects are completed according to deadlines, with accuracy, quality, and integrity.

  • Perform other duties and responsibilities as assigned.

Establish oneself as a knowledgeable staff member by:

  • Learning the Vanderbilt mission and being knowledgeable about Vanderbilt and the Athletic Department’s responsibilities to the mission.

  • Attaining an in-depth understanding of the development programs and their goals in supporting the Athletic Department and student athletes.

  • Engaging with athletics coaches and administrative staff to support alumni engagement goals.

Cultivate relationships with DAR staff, Athletic administrators, and Vanderbilt University as a whole. In addition, cultivate relationships with external constituencies such as alumni, parents, corporations and friends of the University by:

  • Collaborating with DAR staff to build and maintain best practices.

  • Establishing a sound working relationship with DAR staff to enhance collaboration. This includes working with major gifts officers, Discovery officers, operations/advancement services, Athletics Department leadership, reunion teams, and the DAR leadership team.

Enhance departmental performance standards by:

Supervisory Responsibilities:

This position reports administratively and functionally to the Assistant Athletic Director of the National Commodore Club for Premium Seating and Hospitality.

Work Environment:

This position will be located in the Nashville, Tennessee area and will be required to work in the office during normal business hours Monday – Friday.

Education and Certifications:

Bachelor’s degree and two years of experience, or the equivalent, is necessary.

Prefer three years of progressively responsible experience in intercollegiate athletics/professional sport organizations or hospitality related field.

  • Excellent written and oral communication skills

  • Ability to work independently, take initiative, manage multiple projects simultaneously, meet deadlines, and adapt to ever changing priorities
