Job Description: Scheduling Coordinator/ Central Supply

The Scheduler Coordinator/ Central Supply is responsible for the Nursing Staff schedule working with Nurses for schedule changes, Time off, Call outs. Working with agency and staff to maintain staff coverage for all shifts, keep in communication with DON, Administrator and Staff development on Staff issues. Weekly updates on staffing needs meeting with DON, HR, Staff Development, and Administrator. Responsible for placing orders for all facility needs, making sure all units are adequately stocked for all shifts.
GENERAL DUTIES AND RESPONSIBILITIES
Work with Human Resource Manager and DON when scheduling modified work duty employees in accordance with work restrictions and facility policy.
Complete monthly nursing schedule coordinating requests to ensure appropriate coverage on units using OnShift.
Complete and post work sheets/ Time schedules. Coordinate variances with the DON.
Perform miscellaneous duties pertaining to staffing and assist nursing supervisory personnel as necessary
Answer employee calls regarding staffing/scheduling functions. Prepare written correspondence as necessary
Assist in obtaining nursing staff information needed for daily posting requirements.
Responsible for posting daily census
Assist on the units when necessary with residents
Attend management meetings
Assist with reception, appointments and scheduling family visits
Maintain accurate documentation and coding on billing of supplies and agency invoices.
Maintain a perpetual inventory of every item stocked in order to insure adequate levels of supplies
Coordinate and facilitate the ordering of all medical and therapy supplies. Ensures the inventory is consistent with the needs of all residents, based on physical orders
Requisition supplies as needed
Track equipment rentals (ex. Wheelchair and mattress)
Properly storing supplies, including the rotation of stock with expiration dates includes main Central supply room, Clean Utility rooms and each supply closets
Restock all Storage supply rooms and Clean Utility rooms on each unit in the facility
Clean Infection Control Carts and restocking daily
Inventory equipment on hand (ex. Wander guards, Nebulizers & Concentrators, Tech. Gas Supplies, Vital Signs Equipment, Alarms & Alarm Pads)
Clean Nebulizers & Concentrators
Maintain O2 Storage rooms monitoring equipment & orders and returns
Empty Shredders & Assist when collected from outside vendor
Routine Geriatric Medical Orders & Stocking incoming supplies
Retrieve Unused Alarms/ Broken Alarms clean , fix when broken/ change battery in Alarms when needed
Code invoices for orders.
Distribution of supplies to proper departments
Coordinate the return of supplies and equipment to vendors for credit or exchange when necessary
Control cost of ancillary supplies per budget
Charges to bookkeeper for billing if appropriate
This position may have access to protected health information in the patients medical and financial records to conduct job duties
Basic Knowledge and Education
High School Diploma or equivalent
Strong oral and written communication
Strong organizational and time management skills
Must be able to read, write, speak and understand English
Ability to relate positively, effectively and appropriately with resident, families, community members, volunteers and other facility staff.
Required License or certification
- Preferred 1 year experience in Nursing/LTC
Work hours M-F 8:00AM – 4:00PM
