MD Anderson Cancer Center Administrative Assistant - Fac Mgt RAF Exec Office in Houston, Texas
Perform complex administrative and secretarial duties requiring judgment within general guidelines. Impacts department efficiency and productivity, supports RAF and provides back-up assistance to other sections of the department as needed.
JOB SPECIFIC COMPETENCIES
Provide general administrative and clerical support.
Submit expense reports for employees via Concur Travel/Reimbursement System in a timely manner as needed.
Provide general support and assistance to visitors to the main office by answering requests for information and data.
Answers and screens calls to the main extension from other departments, outside vendors, and staff regarding their inquiries.
Coordinate meetings and conferences, prepare agendas, record and distribute minutes.
Compose and/or modify professional business communication documents including memos, reports, drafts, letters, emails and presentations.
Schedule meetings and arrange and reserve conference rooms, audio visual and telephone equipment for meeting and conferences as needed.
Interprets and provides guidance to the staff on institutional and departmental policies
Provides administrative support for specific human resources activities
Responsible for vetting and issuance of badge requests for consultants and contractors.
Coordinate on-site and off-site training keeping track of license renewals for the department.
Co-ordinate safety training for departmental staff.
Updating position descriptions as instructed.
Serve as the timekeeper/back-up time keeper for RAF.
Prepare requisitions as instructed by management for specific office purchases such as tools, uniforms, & PPE
Ensures vehicle logs and fuel tickets are reconciled and submitted to the fleet services monthly.
Monitor and balance fund activities and assists with reconciliation process.
Other duties as assigned
- Back up to the support staff in RAF. This includes answering phones, distributing mail, scheduling meetings, maintaining office equipment and supplies, entering purchase requisitions on ResourceOne and ordering office supplies.
High school diploma or equivalent. Four years of administrative/secretarial experience. With preferred degree, no experience required. Must pass pre-employment skills test as required and administered by Human Resources.
