Aston Carter Executive Assistant in Edgewater, Maryland


• Will provide direct support to CEO responsible for multiple Energy Services Companies and Real Estate Holding Entities. • Act as a liaison between CEO, company employees and clients (customer service) • Will manage / filter CEO’s email and phone correspondence, delegate tasks to company employees, reply to customers • Answer and direct incoming phone calls • Maintain filing system and tasks management software • Assist in coordinating CEO personal affairs and schedule • Support in the development of Project Proposals and Tracking • Developing more efficient systems for time management, information compilation and dissemination and communication • Stay current on CEO Tasks List, priorities and delegation • Composing documents and emails for CEO • Organize CEO and Company's Weekly Meeting Cadence • Schedule appointments and coordinate multiple calendars (business and personal) • Keeps the appointment calendar, but also plays a role in any scheduled meetings. • Take notes and provide follow-up on action items or deadlines discussed in meetings. • Managing projects for company-wide initiatives & keep the CEO updated on progress • Report planning and budgeting finance to CEO • Listening to and advising CEO about policy changes • Acting as a CEO spokesperson within the organization and to the general public • Correspondence and follow-up with Company Employees • Correspondence and follow-up with new & existing customers • Ensuring reporting, KPIs and action items are complete and reported to CEO • Gather, analyze data and prepare presentations • Planning Events (Company & CEO) • Book business travel and family vacations • Creating itineraries, managing transportation, reserving meals and accommodations for business trips • Support philanthropic interests • Maintain contact lists • Organize speaking engagements • Create expense reports • Make restaurant reservations • Do shopping and errands • Order office supplies • Hire and supervise household staff • Buy gifts, send holiday cards • Research, hire, and supervise vendors and contractors for home projects, as needed • Ensure the routine maintenance of homes and vehicles
