The Business Associate III, under general supervision, provides support for business activities. Job Description: The Business Associate III, under general supervision, provides support for business activities. Responsibilities: -Enters, reviews, and reconciles vouchers and requisitions. Monitors and reconciles multiple, complex accounts. Assists with monitoring of the overall budget. -Investigates errors on transactions and recommends and coordinates appropriate corrective action. Responds to complex inquiries from vendors and business units or departments -Prepares documents and reports for year-end and new year start-up activities. Implements purchasing activities. -Prepares and reviews electronic documents. May serve as a liaison to financial/accounts payable. Coordinates activities associated with conferences, continuing/ distance education, and communicates travel and other policies. -Composes routine business related correspondence. Maintains business files and assists with specialized business projects, tasks and activities. Disseminates business information to faculty, staff, and students. May assist in the planning, developing, implementing, coordinating and monitoring of business programs and services. -Participates in the hiring and training of student workers and may provide supervision.
Processes payments for invoices in AggieBuy for 02, 06, & 07 for the entire business unit and process requisitions
Use FAMIS, AggieBuy, Canopy, Laserfiche, Outlook, Word, Excel etc. programs to complete job duties
Manage and process payment card reports for users
Review and submit monthly vehicle reports, manage vehicles maintenance, and inspection place in Laserfiche
Collect and balance fuel receipts to process Voyager invoice
Review holding and reimbursement account. Release purchase order numbers (PO’s)
Using FAMIS/Canopy to verify funds while processing payment cards transaction in Concur and invoices in AggieBuy
Prepares car rental direct bill vouchers in AggieBuy
Travel Card Management and travel Coordinator
Other duties as required
Required Education and Experience:-High school diploma or equivalent combination of education and experience. -Five years of related experience in general office, bookkeeping, or personnel operations.Required Knowledge, Skills and Abilities:-Knowledge of word processing and spreadsheet applications. Interpersonal and communication skills. Planning and organizational skills. Ability to multitask and work cooperatively with others
