POSITION TITLE:             Director of Operational Business Systems 

FLSA STATUS: ​HYBRID - Exempt, Full-Time w/Benefits (Temp Assignment 18-24           Months)

REPORTS TO: ​​Chief Financial Officer, dotted line Chief Information Officer

DEPARTMENT:​​Finance and Accounting

POSITION SUMMARY:

The Director of Operational Business Systems collaborates with Senior Leadership, IT, and Finance departments leading the activities of 3 subsidiaries within The Overlook: The Health Center, Overlook Communities, and The Home Health and Hospice entities, in carrying out responsibility for designing, implementing, managing, training, and deploying improved operations and workflow systems.  

 

 

ESSENTIAL DUTIES AND RESPONSIBILITIES:

The following duties are normal for this position.  This list is not to be construed as exclusive or all inclusive.  Other duties may be required and assigned.

✓ Responsible for appropriately coordinate with IT department in all segments of project as it directly related but not limited to IT network, access, system admins, etc.

✓ Respectfully communicates among departments and entities when projects overlap and require coordination and collaboration, i.e. IT, Finance, Nursing, etc. 

✓ Proficiency / exposure to application implementation, with understanding of business process and data interrelationships and configuration impact.

✓ Ability to gather and interpret business needs and communicate requirements to vendors.

✓ Experience in project management by leading project activities and associated team members.

✓ Strong analytical capabilities, including the ability to identify, troubleshoot and resolve configuration and functional business issues.

✓ Ability to prioritize / plan work activities and manage multiple projects with a focus on results. 

✓ Monitors and ensures project activities are progressing as scheduled (and within defined scope).

✓ Displays strong verbal and written communication. Communicates openly, honestly, and respectfully with diverse audiences. Strong listening skills.

✓ Strong people skills. Build trust and relationships and create a collaborative/consultative style with team.

✓ Ability to develop and maintain relationships with team/colleagues.

✓ Strong facilitation and presentation skills.

✓ Technical basis for understanding health care system solutions (Matrix, Sigma Care, Point Click Care, ect.) 

✓ Flexibility, versatility, and responsiveness. Sense of organization, discipline.

✓ Leads key activities including workflow assessment, workflow optimization, roll-out planning, developing training plans, change management roadmap, Go-Live Support and Post Go-Live Support planning.

✓ Coordinates internal/external and teams to complete Data Migration, Content Development, Interfaces, Enrollment, and Billing Configuration work streams.

✓ Follows established methodology ensuring consistency from implementation to implementation.

✓ Works closely with senior leadership to consistently evaluate and improve the onboarding experience.

✓ Provides end-user training as needed.

✓ Ability to run other projects and assignments in tandem with implementations; specifically, CARF accreditation. 

✓ Other duties and responsibilities as assigned by the Chief Financial Officer, or equivalent.

POSITION REQUIREMENTS: 

• Bachelor's Degree required. 

• Minimum of 10 years’ experience in a healthcare setting.

• Minimum of 5 years' experience managing healthcare system implementations. 

• Experience in a Healthcare or Eldercare organization preferred.

• Possess a knowledge of full spectrum business operations in a healthcare setting.

• Proficient at Microsoft Office, with a specialization in Microsoft Excel.

• Ability to manage and lead a team to excellent performance.

• Proven ability and track record of being a team player.

• Proven ability and track record of being highly organized.

• Prior system conversion experience is preferred.

PHYSICAL REQUIREMENTS/WORKING CONDITIONS:

Primary work will be performed indoors in an office setting, may be exposed to the elements (heat, cold,rain, snow); walking and standing frequently; occasional lifting of up to 35 pounds.

The Overlook is a non-profit organization operating since 1911 and offering a full continuum of care and services for older adults in MA. The organization embraces its rich history and heritage, owning and managing 218 Independent Living Apartment Homes and Cottages, 28 Enhanced Care Private Suites, a14- Suite Assisted Living Memory Care neighborhood, 27-unit Short-term Post-Acute Rehabilitation, 112-bed Long Term Care Skilled Nursing, as well as Home Health, Hospice, Palliative Care, Private Duty and Care Management divisions.

 

The Overlook and its 3 subsidiaries are based in Charlton, MA, with satellite home health and hospice offices across the state. The organization employs approximately 600 talented and compassionateTeam Members and serves 1,500+ Residents/Patients.
