University of Virginia Department Finance and Administration Manager, American Studies in Charlottesville, Virginia

The Department of American Studies (https://americanstudies.as.virginia.edu/) at the University of Virginia (UVA) seeks applications for a full-time Department Finance and Administration Manager.

This position oversees the administrative operations of the department, working in collaboration with the Department Chair, Associate Chair, and Director of Undergraduate Studies. This position is responsible for managing cross functional areas to include, but not limited to, budget, finance, facilities and maintenance, IT and HR. The incumbent supervises all aspects of administration to ensure effective and efficient delivery of services to students, faculty, and others. This position works in partnership with other departments, the Dean's Office, and central units.

Duties & Responsibilities include:

  • Fiscal administrative support, including creating annual budgets in conjunction with the Department Chair; maintaining fund balances and tracking department spending; processing expense reports for faculty and department; preparing monthly reconciliations; preparing supplier invoices and purchase requisitions

  • Student and academic support, including assisting students and faculty with general questions; advising faculty, majors, and prospective students on undergraduate policies, requirements, and deadlines; processing exceptions to academic requirements in SIS; producing reports as needed; maintaining the course catalog; and general coordination with the University Registrar on updates to the Undergraduate Record.

  • General administrative support, including answering phones; ordering supplies; coordinating facilities maintenance; maintaining website users and completing website updates; scheduling and planning monthly faculty meetings; and maintaining records.

  • Event planning support for various program events including major info sessions and graduation.

  • In addition to the above job responsibilities, other duties may be assigned.

Required Qualifications:

  • Bachelor's degree.

  • Two years of increasing management and administrative responsibility supporting financial and academic operations and human resources.

  • Relevant exempt level experience may substitute for a degree.

Preferred Qualifications:

  • Excellent communication, collaboration, and problem-solving skills.

  • Sound judgment and decision-making.

  • Demonstrated customer service

  • Ability to clearly articulate specific information in areas of subject matter expertise to a diverse set of stakeholders.

This position is located in Charlottesville, VA. This position is may offer a hybrid work schedule, dependent upon needs of the department and incumbent's performance.

This is primarily a sedentary job involving extensive use of desktop computers. The job does occasionally require traveling some distance to attend meetings, and programs.
