Description

We are seeking a Receptionist to join our team in the Healthcare/Spa industry. Based in CEDAR RAPIDS, Iowa, the role will involve interacting with clients and team members, managing administrative tasks, and ensuring a smooth operation of the workplace. This position offers a short-term contract employment opportunity.

Responsibilities

• Serve as the first point of contact for clients, demonstrating a calm and professional demeanor at all times.

• Handle the check-in and check-out process for clients, ensuring all necessary paperwork is complete and up to date.

• Manage customer inquiries and complaints effectively, maintaining a high level of customer service.

• Regularly update and maintain accurate client records.

• Assist in maintaining the cleanliness and organization of the workplace, including managing laundry duties.

• Answer phone calls professionally, providing information and assistance as required.

• Assist therapists in preparing rooms for the next client when necessary.

• Contribute to a team-oriented work atmosphere, taking initiative to complete tasks as they arise.

• Facilitate the sale of products, answering any client questions about products without making specific recommendations for massage therapy products.

• Utilize various software such as Microsoft Excel, Microsoft Outlook, Microsoft Word for data entry and scheduling appointments.

Requirements • Proficient in answering multi-line phone systems, directing calls to appropriate departments and handling queries

• Excellent customer service skills, with the ability to handle inquiries and complaints in a professional manner

• Competent in data entry tasks, ensuring accuracy and attention to detail

• Skilled in email correspondence, with the ability to draft and send professional emails

• Strong interpersonal skills, with the ability to interact with patients, their families, and medical professionals

• Proficient in Microsoft Excel, Microsoft Outlook, and Microsoft Word for various administrative tasks

• Experience in organizing files, ensuring easy access and retrieval of information

• Ability to schedule appointments effectively, ensuring optimal time management

• Must be able to maintain confidentiality of sensitive information

• Ability to work in a fast-paced environment and manage multiple tasks simultaneously

• Experience in a healthcare or NHS setting is desirable but not mandatory.
