Family Health Centers at NYU Langone, a designated Level 3 Medical Home, is the largest federally qualified health center network in New York State, and the second largest in the nation. It includes eight primary care sites, 40 school-based health centers and dental clinics, four day care centers, the nation's largest dental residency program, and New York State's largest behavioral health program. Position Summary:
We have an exciting opportunity to join our team as a Admin Coordinator.

In this role, the successful candidate provides administrative support to the LFHC Network Chief of Pediatrics & Adolescent Medicine and Associate Regional Director of Medical Education (RDME).

Job Responsibilities:
Monitors Immunizations & Certificates Open Rotations VSAS applications Clinical Preceptors Evaluations (CPE), Student Evaluations of Preceptors (SEP) Rotation Request Forms for RDME approval Affiliation Agreements (AA) and/or Letter of Acceptance (LOA)
Verifies Rotations prior to obtaining RDME approval Submits a request for AA/LOA when one does not exists obtains Letter of Good Standings (LoGS), Preceptors name and email addresses.
Notifies and follow up with Students regarding PxDx logs and submission of Unexcused Absence Forms.
Schedules Exams for both OMS III and OMS IV students notifies students of date/time/location reserves space for testing and proctor exams for all AT Still students.
Schedules with the Occupational Health Services Department both Flu vaccines and TB/PPD testing for students (OMS II OMS IV)
Maintains students files and ensures that all appropriate documents are filed correctly on an ongoing basis and maintains confidentially is compliant with FERPA regulations.
Updates Maintain and Organize OMS III & OMS IV schedules on a weekly/monthly basis. Communicates with Medical Education Department and SOMA to ensure all parties are up to date with changes in the students schedule.
Reminds all LFHC Preceptors of upcoming rotations and cancellations (COREs, Electives, Medical Home and RICE)
Plans and assist in the coordination of meetings conferences and special projects (i.e. Orientation, Site Visits to Medical Home and Graduation)
Coordinates catered events assists in food and travel reimbursements/expenses.
Interacts with department personnel throughout the health center/medical center and ATSU-SOMA
Responds to calls and visits from students and staff and provides information according to established procedures determines urgency of the situation and re-direct the decision making to the proper authority
Deals discretely with confidential information concerning AT Still Students
Assists in the preparing the classroom for OPP and Case Discussion Med Skills including maintaining and ordering supplies for OPP Class.
Accepts and performs additional duties as assigned within scope of knowledge and skills

Minimum Qualifications:
To qualify you must have a Bachelor's Degree required with 2 years of relevant experience, or the equivalent combination of education and experience. The successful candidate must also possess excellent interpersonal, verbal and written communication, and organizational skills. Knowledge of standard office software is essential, including proficiency with word-processing, spreadsheet and database software (e.g., Microsoft Office, preferred). Ability to multi-task and/or coordinate multiple assignments is required. Ability to interpret and implement policies and procedures, and effectively communicate detailed information to a diverse population, both verbally and in writing; excellent problem-solving skills is required.
Qualified candidates must be able to effectively communicate with all levels of the organization.
