Job Overview:

Under the direction of the Manager, the Secretary assists in the planning, organizing, implementing and evaluating the activities by performing clerical and receptionist duties and maintaining the physical environment of the area.

Qualifications:

Required:

  • High school diploma

  • Knowledge of computer applications, including Word and Excel and the ability to multi-task successfully

  • Excellent verbal communication, interpersonal and demonstrated writing skills

Preferred:

  • Experience with EPIC

  • College degree

Scheduling Requirements

  • Shift: Day

  • Status: Per Diem (Scheduled to work, based on department's needs)

Essential Functions:

  • Register all patients at the beginning of every month

  • Register consultations, follow ups, CT simulations, and new starts

  • Assist with scheduling/pre-registering patients while gathering and properly filing patient records into Aria

  • Assist with answering the phone

  • Oversee dictation list in Excel and faxes dictations out to patients' doctors

  • Call to verify insurance company whenever a patient s insurance changes or when a new patient is pre-registered

  • Assist with obtaining insurance authorizations for radiation therapy treatments and faxes out patient records to authorization department whenever records are requested, while properly documenting authorization in SMS, Aria, and RASI upon retrieval

  • Check all patient s hospital and professional account numbers every day to ensure billing accuracy before all billing charges are exported

  • Also documents all hospital charges in the Monthly Stats

  • Call to obtain insurance authorization for Xofigo patients and properly documents authorization in Aria upon retrieval

  • Obtains PCP referrals (when the insurance company requires it).

  • Patient registrations

  • Verifies patient demographics

  • Verifies patient insurance coverages

  • Verify and maintains updated patient contact information

  • Schedule patient appointments

  • Consultations

  • Follow Ups and Uber for pts.

  • Retrieve patient records from multiple doctors for archival into Mosaic

  • Manually scan patient records into RASI

  • Patient insurance coverage verification

  • Verify treatment authorization for patients from insurance provider

  • Answer telephone and professionally direct questions directly related to department to appropriate persons

  • Oversee all charges and maintains highest level of accuracy for patient billing

  • Maintains and performs patient billing for doctor s treatment

  • Verity s hospital billing for patient treatment is properly exported into main hospital billing system

  • Maintains patient identification system and verifies accuracy and completeness of data integrity.

  • Transmits doctor s dictation to consulting physicians

  • Manually creates monthly stats for department.

  • Tracking of all patient treatments to ensure billing accuracy

  • Coordinates review of denied billing

  • Reviews individual billing charges to ensure proper coding and data is correct

  • Submits review documents as required by insurance providers

  • Performs necessary follow-up calls with doctors and technicians on as needed basis gathering required data to recoup submitted charges for hospital

  • Maintains departmental patient referral log

  • Maintain pertinent treatment information on per patient basis

  • Patient Name, Data of consultation, Date of diagnosis code, Primary physician, Referring physician, In / Out Patient status

  • Performs OTV billing for physician professional billing

  • Attend departmental meetings with department managerial staff ensuring all staff is current on patient issues/billing status/ and other pertinent issues.

  • Keep ledger of expired pts from Radiation Oncology.
