Barnstable County Administrative Assistant - COVID - 19 in Barnstable, Massachusetts

Summary Professional, administrative and technical work providing diverse administrative support to the Department of Health & Environment during COVID19 pandemic; all other related work as required. Supervision Works under the administrative direction of the Deputy Director. Essential Functions The essential functions or duties listed below are intended only as illustrations of the various types of work that may be performed. Provides overall administrative support to the department of Health and Environment related to all Covid19 matters. Prepares purchase orders and invoices for all Covid19 response related activities. Responsible for ordering supplies, tracking the Covid19 related budget and billing for payment of testing and vaccines. Assists with daily administrative tasks such as data entry, copy making, organization of brochures, supplies, etc. Assists with Covid19 help line, testing and vaccination software, including answering calls, scheduling testing, vaccinations, etc. Performs similar or related work as required, directed or the situation dictates. Recommended Minimum Qualifications Education and Experience High school diploma and additional business training equivalent to an Associate Degree and 3 to 5 years of office administration experience. Certifications: A valid U.S. Driver's License Knowledge of Microsoft based computer programs such as Word, Excel, Power Point, Teams is essential. Must be familiar with County accounting software (Munis) or willing to become familiar with it within 4 weeks of employment. Ability to communicate both in writing and orally and interacting with both the public and professionals is essential. Ability to use a computer. Ability to multitask as required by the supervisor. Skill: Excellent oral and communication skills. Excellent organizational skills Job Environment Work is generally performed in an office setting; work is stable with some fluctuations based on Covid19 response. Operates computer and standard office equipment. Makes regular contact with the public in person and by telephone; contacts include County department staff, staff of other government and private agencies and citizens. Errors could result in the distribution of incorrect information to staff or the public or loss of valuable supplies such as vaccines.
