Job Description Northern Light Eastern Maine Medical Center Department: Facilities Management Position is located: Northern Light Eastern Maine Medical Center Work Type: Full Time FTE: 1.000000: (40 hours per week) Work Schedule: 7:00 AM to 3:30 PM Summary: Facilities Secretaries acts as Dispatchers, taking telephone calls, processing Fixit Web Requests and communicating the needs to the appropriate party. The Facilities Support staff handles calls for EMMC and EMHS owned properties in the greater Bangor area. Facilities Dispatchers also perform a variety of duties that include but are not limited to Payroll processing, scheduling meetings, monthly billing, attendance tracking, data entry, employee evaluation tracking, processing invoices, routing contracts and capital requests Responsibilities: PEOPLE • Team-working with other staff to solve problems and assist all members in completing assigned tasks. SERVICE • Performs variety of clerical functions given by Office Coordinator with accuracy and in a timely manner. • Receives and logs incoming service requests from hospital staff as well as EMH affiliates. Assigns requests to appropriate supervisor and/or staff member. Track emergent issues to resolution • Monitors and processes #EMMC Fixit emails in a timely manner with accuracy of assignment. • Data entry into Asset Manager to close Dispatch and Shift Mechanic calls as indicated on logs • Keeps stock level of supplies adequate for immediate use by Facilities staff. • Performs other related miscellaneous functions as required. Performs scheduled tasks "off" shift when necessary. • Receives and distributes Facilities mail on a daily basis with accuracy QUALITY • Accurately and efficiently prioritizes service requests for most efficient and effective use of Facilities staff time. • Maintains Facilities vehicle registrations, inspections, and driver's list. Updates annual insurance list and MVR checks on drivers. • Accurately performs weekly payroll function for Facilities Department as assigned. Cross trains with Facilities Secretaries to remain current in Payroll function. GROWTH • Maintains professional growth and development through educational programs, seminars, workshops, etc. • Learns new software programs and processes and helps train co-workers Competencies and skills: Essential: * 5+ years of relative work experience required. Credentials: Education: Essential: * High School Diploma/General Educational Development (GED) Working conditions: Essential: * Need to drive to perform responsible duties. * Work with computers, typing, reading or writing. * Lifting, moving and loading less than 20 pounds. * Continuous sitting. * Continuous standing. * Continuous walking.
