The Maryland School for the Blind (MSB) Administrative Specialist in Baltimore, Maryland

Job Descriptions:

SUMMARY: With supervision, manages MSB’s transportation services and monitoring efforts, while providing administrative and secretarial services to the Principals and Assistant Principals.


Essential Functions:

  • Manages transportation services for MSB students.

  • Informs counties of student transportation needs.

  • Collects and manages schedule of bus rosters.

  • Communicates changes in student transportation needs.

  • Sets up school messenger alerts for half day and school closings.

  • Coordinates schedule changes for weather delays, closings and early dismissals,

  • Fields transportation concerns and issues.

  • Manges MSDE monitoring, and other compliance and monitoring efforts, which includes but is not limited to compiling, tabulating, and preparing data required for local, state and federal reports, questionnaires, and audits.

  • Performs standard office secretarial and office reception duties for the Education Office.

  • Prepares requisition, check, storeroom, supply, & petty cash requests applying appropriate budget codes.

  • Provides administrative services to Student Services, including travel reservations for conferences, athletic trips, and music trips.

  • Manages the functioning of high volume office, which may include moving and/or lifting up to 20 lbs.

  • Types and designs general correspondence, memos, charts, tables, graphs, etc. Proofreads copy for spelling, grammar, and layout, making appropriate changes.

  • Filing and file retrieval

  • Prepares and/or mails annual Welcome Back packet for returning students, Parent/Student Handbook, graduation program, and School calendar.

  • Coordinates Parent Visitation Day events, and other special events, as needed.

  • Maintains accurate records of incident reports, Fire Drills, Permits, and ensures parent contact information is accurate in School Messenger.

  • Acts as payroll proxy.

Marginal Functions:

  • Provides backup services with the IEP process.

  • Provides backup phone coverage for the Education office.

  • Performs additional duties as assigned.


Equipment Used: Computer, keyboard, multiline telephone, copy machine, printer, and fax machine.

Performance Standard: Must produce error free documents with no more than two attempts, file documents with 100% accuracy, and interact with callers and visitors courteously and efficiently 100% of the time.

Work Environment: Standard Office conditions with overhead fluorescent lighting, 70-80 degree air temperature.

Work Schedule: 37.5 daytime hours M-F. One hour daily unpaid lunch; flextime scheduling is possible. This position follows a twelve-month work schedule.

Pay Rate: $17/hour

Required Experience:


Knowledge, skills and general abilities:

  • Comprehensive knowledge of typing, word processing, data base operation, document filing methods, record keeping, use and maintenance of office machines and equipment and PowerPoint presentations.

  • Comprehensive knowledge of available school services and programs.

  • Comprehensive knowledge of interpersonal communication and organizational strategies.

  • Requires minimum of 3-5 years of experience as administrative assistant or related position.

  • Minimum HS Diploma or GED required.

After six months in this position, the employee is required to have:

  • Comprehensive knowledge of school’s word processing software.

  • General knowledge of MSB’s internal organizational structure.
