Job/Position DescriptionProgram Specialist IPLEASE NOTE: The posted salary range is the full range for this position. Agency salary policy, budget and candidateand#146;s qualifications will dictate final salary offer. Typically, salary offers are at or near the midpoint of the range, depending on qualifications or other factors.Under the supervision of the EMS/Trauma Systems section leadership, performs complex technical administrative tasks for case referrals by the Department of Public Safety (DPS) requiring review by the Medical Advisory Board (MAB). Responsible for reviewing packets referred to the board, ensuring information packet is complete and if not, contacting the client for missing documents. Review weekly uploaded files and tracks status. Provide customer assistance to MAB clients. Assist with various administrative functions including data entry and creating correspondence letters. Prepare meeting documents for the physician review panels. Assist in the development of standard operating policies and procedures for review panels. Respond to MAB inquiries. Provide technical assistance to MAB physicians with review panels, meetings, and other requests. Essential Job Functions(30%) Responsible for reviewing weekly files uploaded by DPS and ensure the received documents are then uploaded into the correct referral individualand#146;s file. If documents are missing, contacts the client and requests the required documents. Sends a corresponding deficiency letter to the client. Coordinates, monitors, and plans for client review process. Responsible for tracking the status of the review packet and readiness of the referral packet for the physician review board. Return packets to DPS if client does not provide complete documentation within 90 days.(20%) Provide customer service regarding MAB case evaluations and inquires for driver and handgun licensees/applicants.(20%) Ensure program files contain accurate and current information for scheduled physician review panels. Provide technical assistance for the review process. Ensure compliance with established procedures and compliance with HIPAA regulations.(15%) Coordinate the move of completed medical board reviews back to DPS for their review and final decision.(10%) Assist with development and maintenance of information and resources related to medical review guidelines and practices. Assist with the development of operational plans, procedures, and information available via website.(5%) Performs other duties and special projects, as assigned. Duties include but are not limited to actively participating and/or serving in a supporting role to meet the agency's obligations for disaster response and/or recovery or Continuity of Operations (COOP) activation. Such participation may require an alternate shift pattern assignment and/or location.
